Job Summary:


We are seeking a friendly and professional Front of House Administrator to join our dynamic team based from our new flagship in Park Royal. As the first point of contact for our customers, you will play a vital role in delivering exceptional customer service, managing appointments, and supporting the sales administrative process. We are ideally looking for someone from an automotive retail background, with experience of raising purchase orders, invoicing and registering vehicles.


Key Responsibilities:


  • Schedule and confirm service appointments and vehicle test drives
  • Support the sales teams by preparing sales documentation, quotes, contracts, and compliance materials
  • Assist with invoicing and payment processing
  • Greet and welcome customers promptly and professionally
  • Act as a liaison between sales representatives, customers, and third-party distributors to ensure accurate and efficient communication
  • Bringing new and used vehicles into stock and coordinating with internal departments to ensure timely fulfilment of customer requirements
  • Coordinate with sales and service teams to support daily workflows
  • Handle administrative tasks including data entry and processing customer information
  • Ensure compliance with health and safety regulations in the reception area


Qualifications and Requirements:


  • Previous experience in a receptionist, customer service, or sales administrative role, preferably within the automotive retail or related sector
  • Able to provide consistent and in-depth support to our Sales Executives to help progress our growing organisation.
  • Proficient in Microsoft Office and basic computer applications
  • Ability to multitask and work efficiently under pressure
  • Friendly, approachable, and professional demeanour
  • Passion for cars and knowledge of the automotive industry is a plus
