Job description

Personal Assistant to Founder (Full-Time, In-Office)

Location: Belfast

Hours: Full-Time (Monday–Friday, in-office) £26,000-£28,000 a year.

Reports to: Founder & CEO

About the Role

We’re looking for a highly organised, proactive Personal Assistant to support the Founder of a fast-growing e-commerce brand. This is a dynamic and hands-on role that blends executive support, content coordination, and operational assistance.

Your first priority will be ensuring the Founder’s day runs smoothly — managing their inbox, calendar, and communications — while also helping bring ideas to life across social media, content creation, and company operations. No two days will be the same; one day you might be editing a YouTube video or scheduling tweets, and the next you might be booking appointments or liaising with suppliers to resolve technical or logistical issues.

If you’re resourceful, tech-savvy, and love variety, this is the perfect role for you.

Key ResponsibilitiesExecutive Support

  • Manage and organise the Founder’s inboxes (email, LinkedIn, and other platforms), ensuring important messages are prioritised and responded to promptly.
  • Manage the Founder’s calendar — scheduling meetings, calls, travel, and personal appointments.
  • Anticipate needs and proactively handle administrative tasks before they become urgent.

Content & Social Media

  • Schedule and post content across platforms including LinkedIn, X (Twitter), TikTok, YouTube, and email newsletters.
  • Help plan and ideate content with the Founder and creative team.
  • Proof, edit, and repurpose content for different channels (e.g., trimming clips, writing captions, polishing LinkedIn posts).
  • Coordinate filming schedules and upload workflows for video content.

Operations & Admin

  • Maintain and update spreadsheets and databases (e.g., content calendars, analytics, task trackers, etc.).
  • Complete varied manual and problem-solving tasks such as booking appointments, arranging logistics, or troubleshooting with suppliers.
  • Support general business operations when required — including helping with order fulfilment, customer service, or ad hoc company projects.

What We’re Looking For

  • Highly organised and detail-oriented — able to manage multiple priorities at once.
  • Strong communicator — clear, professional writing and confident digital communication.
  • Tech-savvy — comfortable using tools like Google Workspace, ClickUp/Notion, Canva, Excel/Sheets, and social media scheduling tools.
  • Creative eye — enjoys helping shape content ideas and understands tone, aesthetics, and storytelling.
  • Problem-solver — resourceful, adaptable, and able to figure things out without hand-holding.
  • Hands-on mindset — happy to get involved in practical or operational tasks when needed.

Nice to Have

  • Experience in social media management or content creation.
  • Experience supporting founders, executives, or entrepreneurs.
  • Interest in e-commerce, marketing, or creative industries.
