The opportunity

We are currently recruiting a Team Assistant to provide administration support to the team.  EYFH organises the work into 6 partner led teams which are supported by Team Assistants.  The level 2 Tax Team Assistant will work alongside a level 1 TTA in one of the Partner led tax teams to maximise efficiencies on allocated client accounts.  The role will involve proactively completing and managing non-technical client chargeable tasks, allowing technical staff to focus on the delivery of more complex technical areas.

 

The role will report into the ‘Team Leader (TTA) Level 2’ with a dotted line report into the relevant partner.  There will be standard tasks across all partner groups and other responsibilities will be divided amongst the TTA population.

 

 

Your key responsibilities

Level 2 TTAs will provide support to technical team on all clients within their Partner led team including:

  • Set up and maintain client files
  • Liaise with clients on non-technical matters e.g. meeting arrangements, co-ordinating receipt of information etc
  • Update EYFH systems as appropriate
  • Collate information for pricing plan and enter into Mercury for each new job
  • Where appropriate, undertake allocated tasks within the Global Compliance Process to include:
    • Prepare submission letters/packs to client and HMRC/other relevant tax authorities
    • Online filing and record management
  • Assisting with aspects of the compliance processes; from chasing for tax return information, updating our database and tracking completion stats, setting up client codes, monitoring extension lists and so on
  • Packaging tax returns, pull together support files, e-filing US and UK tax returns, liaising with clients, creating basic client correspondence/templates and assisting with elements of the tax return process
  • Suggest process improvements to support efficient working principles
  • Reviewing work and ensuring process is followed for tax technical staff Levels 1 within the partner led teams and providing feedback as appropriate
  • Initiate and oversee the new client engagement process through to contract signing (for example pre-onboarding packs, Mercury and PACE set up, drafting engagement letters)
  • Managing and completing assigned tasks throughout the lifecycle of a tax engagement - providing support and guidance for the creation of an opportunity, the budgeting process, contractual considerations, set up, the regular review of engagement economics, billing and closure
  • Monitoring and ensuring the completion of tasks using the tools available (Mercury and other tools)
  • Supporting the Technical Operations team on process and procedural updates as well as rolling out/coordinating elements of other client initiatives
  • Work with the Training Committee to support set up of training initiatives
  • Administrative support for the EA qualification process
  • Manage the IRS CPE compliance process

  • Strong communicator, able to communicate effectively at all levels both internally and externally via telephone, instant messaging and face to face and have a positive impact
  • Strong written and communication skills - reporting writing, leading meetings
  • High level of attention to detail - accurate and professional presentation of programme management reports, presentations and deliverables
  • Financially literate, experience of client billings and financial management expertise
  • Well-developed time management skills, able to juggle competing priorities and resources allocated resources.
  • Self-starter able to work to project goals and under own initiative with pro-active "can do" attitude
  • Analytical and problem-solving mindset - improve and enhance processes - not just run and oversee
  • Pro-active and reliable team member with the ability to work effectively with others and share information readily
  • Exercise good judgement, with the ability of knowing when to flag issues and when to make own decisions
  • Receptive to change and a flexible approach
  • Demonstrate initiative in approach to projects/assignments and a willingness to challenge the status quo

 

 

To qualify for the role you must have

  • A' Levels (or equivalent) and/or further education qualification e.g. HND
  • Evidence of knowledge on Microsoft systems and databases, ideally including Dynamics 365, Citrix ShareFile, PACE and GIS
  • Evidence of working within a team (both locally and remotely if possible)
  • Evidence of working well under pressure
  • Evidence of problem solving
  • Evidence of good business writing skills
