With a growing footprint in EMEA, Newmark is expanding its London operations and is seeking a proactive, detail-oriented Facilities Coordinator to support day-to-day operations and help deliver best-in-class service to clients and tenants.
The Facilities Coordinator will be responsible for supporting the effective delivery of facilities management services across assigned properties in London. This role requires a highly organised individual with excellent communication skills, capable of liaising with vendors, internal stakeholders, and property occupiers to ensure a safe, efficient, and welcoming work environment.
- Serve as the first point of contact for facility-related queries from tenants, vendors, and internal teams.
- Coordinate with service providers to schedule and oversee maintenance, repairs, cleaning, security, and other building services.
- Conduct regular site inspections and audits to ensure safety, compliance, and upkeep of facilities.
- Assist with budgeting, invoice processing, and financial reporting related to facilities services.
- Maintain and update records of maintenance schedules, contracts, permits, and compliance documents.
- Support the implementation of sustainability initiatives and workplace optimisation projects.
- Assist with space planning and office moves or changes as needed.
- Ensure health & safety standards are maintained and assist with incident reporting and risk assessments.
- Liaise with property managers and landlords regarding building infrastructure, policies, and procedures.
Experience:
Knowledge of UK health & safety and compliance regulations.
Excellent organisational and multitasking skills.
Strong communication and interpersonal abilities.
Proficient in Microsoft Office Suite; experience with CAFM or work order systems is a plus.
IOSH or NEBOSH certification (desirable).
Team player with a customer-focused attitude and a proactive mindset.
