Job Summary:


The Procurement Coordinator plays a crucial role in supporting the interior design team by

coordinating the procurement process for various projects. This role involves sourcing,

negotiating, and coordinating the acquisition of materials, furnishings, and equipment necessary to

bring design concepts to life. The Procurement Coordinator collaborates closely with designers,

vendors, and project managers to ensure timely and cost-effective procurement while maintaining

quality standards. The role requires excellent attention to detail, supplier knowledge and sufficient

procurement experience working on high-end luxury projects and liaising directly with high-networth

clients. The role will involve work on every stage of the procurement process and installation

of high-end luxury projects.


Key Responsibilities:


Sourcing and Vendor Management:

• Identify and research potential vendors, suppliers, and manufacturers for materials, furnishings,

fixtures, and equipment required for interior design projects.


• Establish and maintain relationships with vendors, ensuring clear communication, price

negotiations, and obtaining competitive bids.


Procurement Planning:

• Collaborate with design teams to understand project requirements, budget constraints, and

material specifications.


• Develop procurement plans and schedules aligned with project timelines and milestones.

Budget and Cost Control:


• Assist in creating project budgets by providing accurate cost estimates for materials and services.

• Monitor and manage procurement costs to ensure projects stay within budget while maintaining

quality standards.


Order Processing:

• Prepare purchase orders and review order confirmations for accuracy and compliance with project

specifications.


• Coordinate the submission of necessary documentation, such as samples, swatches, and

technical specifications, to design teams for approval.


Logistics and Coordination:

• Track the progress of orders, ensuring timely deliveries and resolving any logistical issues that

may arise.


• Coordinate with project managers, designers, and vendors to schedule deliveries and installations

on-site.


Quality Assurance:

• Inspect received goods to ensure they meet quality standards and match specifications outlined in

purchase orders.

• Address any discrepancies or defects in a timely and effective manner.


Documentation and Reporting:

• Maintain accurate records of procurement transactions and inventory levels, including order

status, lead times, and delivery schedules.

• Generate regular reports on procurement progress, budget adherence, and vendor performance.


Market Research:

• Stay updated with industry trends, new products, and innovative materials that could enhance

design concepts and contribute to the overall success of projects.


Qualifications and Skills:


• Bachelor's degree in Interior Design, Business Administration, Supply Chain Management, or a

related field (preferred).

• Previous experience in procurement, vendor management, or a related role, ideally within the

interior design, architecture, or construction industry.

• Strong negotiation skills and the ability to build and maintain vendor relationships.

• Excellent organizational skills with the ability to manage multiple projects simultaneously.

• Detail-oriented with a focus on accuracy in documentation and reporting.

• Proficiency in procurement software, project management tools, and Microsoft Office Suite.

• Effective communication skills, both written and verbal.

• Knowledge of interior design materials, finishes, and specifications is a plus.

• Ability to work collaboratively in a team environment and adapt to changing project requirements.
