My client is a dynamic and design-led commercial fit-out and refurbishment specialist, delivering innovative workspace solutions across London and the UK. With project values ranging from £150k to £6 million, they work with a diverse client base spanning multiple sectors. As we continue to grow, we're looking for a highly organised and creative Bid Coordinator to join our team and support our Pre-Construction and Marketing functions.


Role Overview

As a Bid Coordinator, you will play a key role in managing and producing high-quality PQQs, tender submissions, and supporting proposal documentation. Working closely with Pre-Construction Directors and the wider team, you will coordinate multiple live bid opportunities, ensure brand consistency, and support our marketing efforts through compelling content creation and campaign delivery.


Key Responsibilities


Bid & Tender Coordination:

  • Lead and coordinate the completion of PQQs and formal bid submissions for projects valued from £150k to £6 million.
  • Manage the tender process from opportunity identification through to submission and post-submission feedback.
  • Collaborate with Pre-Construction Directors, Designers, and Estimators to gather technical content and ensure high-quality responses.
  • Maintain and update bid libraries, case studies, CVs, and company credentials.
  • Track submission deadlines and ensure timely delivery of all documents.
  • Content Creation & Marketing Support:

    • Assist in the creation of copy for marketing collateral, project case studies, award submissions, and thought leadership content.
    • Support the development and delivery of targeted marketing campaigns, including content for social media and digital newsletters.
    • Ensure all written content aligns with the company’s tone, branding, and values.
    • Provide assistance with internal presentations and client-facing materials.
  • Design & Software Use:

    • Use Adobe InDesign to format and produce visually engaging submission documents and marketing materials.
    • Liaise with external suppliers or in-house teams for design support where needed.


    Skills & Experience Required

    • Proven experience in a Bid Coordinator or Bid Writer role within the construction, fit-out, or design & build sector.
    • Strong knowledge of PQQ and tender processes.
    • Excellent written and verbal communication skills with a sharp eye for detail.
    • Ability to manage multiple projects to tight deadlines.
    • Experience in content writing, campaign copywriting, or B2B marketing desirable.
    • Proficiency in Adobe InDesign (essential); experience with Microsoft Office Suite (Word, Excel, PowerPoint).
    • Knowledge of the construction/refurbishment project lifecycle is advantageous.
