Job description
Financial Planning Support
Purpose of the Role
- To provide high-quality administrative support to Financial Planners and Directors, ensuring they are equipped with accurate and timely information for client meetings.
- To maintain up-to-date client records and ensure adherence to internal systems and processes.
- To mentor and support junior team members, fostering their development and enhancing team efficiency.
Key Responsibilities
Client Meeting Preparation
- Compile and generate accurate client review packs and check packs as required.
- Liaise with providers and third parties to gather timely and precise information.
Record Management
- Maintain a clear audit trail for all client records, ensuring documents are correctly saved and named.
- Regularly update internal systems and ensure all opportunities are accurately recorded.
Communication & Collaboration
- Keep Financial Planners and team members informed of progress, escalating concerns or complaints promptly.
- Conduct weekly review meetings with Financial Planners to discuss priorities and address any issues.
Client Meeting Support
- Attend client meetings (2–3 times per year) to support Financial Planners, including presenting elements such as cashflow, with line manager approval.
- Conduct pre- and post-meeting reviews, delegate tasks appropriately, and ensure meeting notes and actions are completed within two weeks.
Team Development
- Mentor junior team members, delegating tasks that contribute to their growth and the team’s success.
New Business Processing
- Complete due diligence for new business using the appropriate checklist.
- Generate platform calculators to outline costs and raise any queries with your line manager.
Documentation & Compliance
- Draft template suitability letters completing factual and free-type sections where possible.
- Collaborate with Lead Support or Senior Financial Planner Support for guidance when needed.
Portfolio Management
- Review and action cash weightings weekly in collaboration with the Financial Planner.
Process Management
- Process client instructions using the appropriate advice flow, checklists, and IO event lists/tasks.
Professional Development
- Maintain and update your talent development record ensuring objectives and training impacts are recorded.
Project Involvement
- Participate in projects and specific tasks that support your professional growth and contribute to team objectives.
