Hot Futures is an independent fashion eyewear brand based in London, known for bold design, strong brand identity, and our growing creative community. We’re looking for a highly organised and driven Brand Assistant to join our HQ team and support a broad range of key business operations.

Role Description

This is a hands-on and varied role best suited to someone with a fashion brand or ecommerce background who thrives on process, organisation and multi-tasking. The Brand Assistant will be responsible for several vital daily functions, from online ecommerce management and customer support to inventory management, brand online and in-store activations and PR coordination.

Key Responsibilities

Ecommerce & Customer Service

• Manage daily Shopify order fulfilment and ecommerce admin
• Handle customer service queries including returns, repairs, and general communications

Prescription Eyewear Oversight

• Coordinate all prescription eyewear orders placed in-store and online
• Liaise with our external optical lab to process and track orders
• Resolve any delays, errors, or customer queries relating to prescription fulfilment
• Manage customer communication and ensure timely dispatch and delivery of orders

Warehouse, Stock & Replenishment

• Oversee weekly store replenishment from our warehouse
• Track warehouse stock levels and manage inventory in collaboration with head office and store teams
• Handle inbound deliveries and product intake from suppliers
• Manage product creation and set-up, inventory control systems and other product related administration.

Media, Influencer & Stylist Relations

• Coordinate press loans, returns and communications with stylists and publications
• Manage influencer outreach, sample distribution and follow-ups

Internal Brand Operations

• Act as the main point of contact for store teams on Hot Futures product and stock queries
• Support the launch of new products by managing samples, supplier comms and internal processes

What We’re Looking For

• Previous experience working in a fashion brand or ecommerce environment
• Strong organisational and multitasking skills
• Process-driven mindset with excellent attention to detail
• Confident communicator, both written and verbal
• Familiarity with Google Sheets and the wider Google Workspace
• Shopify or equivalent ecommerce platform experience preferred
• Bonus: any operational, digital marketing or creative experience relevant to an independent fashion or eyewear brand

Working at Hot Futures

As a small and passionate team where everyone has a direct impact. This role is based full-time at our Dalston HQ and is integral to ensuring the smooth daily running of Hot Futures’ brand operations. 

As part of your role, you will have the opportunity to additionally contribute to the Hot Futures’ through cross-team collaboration on new activations, pop-ups and store openings, new product development and releases as well as other ad-hoc brand activities and milestones.

The successful candidate should approach this role with a collaborative mindset and a willingness to challenge themselves as part of their role and in order to collaborate with the team to achieve brand growth and success.
