Job Title: Treatment Coordinator

Location: Leeds, LS11 – Smile White HQ

Salary: £30,000 – £35,000 per annum + Monthly Performance Bonus

Department: Patient Engagement Team

As we scale our services, we are seeking a Treatment Coordinator who can manage a high volume of patient enquiries while maintaining excellent organisational and customer care standards.


Role Summary

As a Treatment Coordinator, you will be the first point of contact for new and prospective patients. You will be responsible for booking patients in with our dental professionals using the HubSpot CRM system, managing the patient journey, and ensuring a first-class customer experience from enquiry to treatment.


Key Responsibilities

  • Coordinate and manage patient consultations and treatment bookings across our dental partners.
  • Handle a high volume of enquiries efficiently while ensuring every patient receives personalised care.
  • Use HubSpot CRM to track, update, and manage patient communications and pipeline progress.
  • Follow up with leads in a timely and organised manner to maximise conversions.
  • Liaise closely with clinical teams to align schedules, appointments, and treatment plans.
  • Maintain exceptional customer service standards throughout the entire treatment journey.
  • Monitor performance metrics and contribute to monthly team targets to unlock monthly bonuses.
  • Maintain accurate and compliant patient records.


✅ Requirements

  • Proven experience in treatment coordination, healthcare admin, or a high-volume customer-facing role.
  • Excellent organisational skills and the ability to manage multiple patient pipelines simultaneously.
  • Confident using CRM systems – HubSpot experience is highly desirable.
  • Strong written and verbal communication skills.
  • Empathetic, patient-centric approach with a passion for delivering premium experiences.
  • Results-driven, with the ability to meet conversion and follow-up KPIs.
