With over 100 years of combined expertise in Obstetrics, Gynaecology, Fertility, Genetics, and Fetal Medicine, our team is recognised for delivering advanced ultrasound imaging and comprehensive prenatal assessments. We specialise in a wide range of pregnancy scans and Non-Invasive Prenatal Testing (NIPT), with a particular emphasis on fetal cardiac evaluation. We are seeking a reliable, compassionate, and highly organised Medical Secretary to join our growing team. As the first point of contact for our patients, you will play a vital role in ensuring a smooth and reassuring experience throughout their pregnancy care. This multifaceted role combines front-of-house responsibilities with administrative support and clinical assistance, including chaperoning. Experience as a Healthcare Assistant (HCA) and in phlebotomy is highly desirable.
Patient Communication
· Respond promptly and empathetically to patient enquiries via phone, email, and WhatsApp.
· Provide clear, accurate information about clinic services, procedures, and appointments.
Administrative Support
· Manage appointment scheduling, rescheduling, and confirmations across multiple clinic locations.
· Maintain accurate patient records and booking systems.
· Assist patients with digital consent forms and documentation.
· Follow up on patient care, including tracking test results and liaising with laboratories.
Clinical & Team Support
· Collaborate with sonographers, doctors, and midwives to coordinate seamless care.
· Chaperone during ultrasound scans and clinical procedures to ensure patient comfort and safety.
· Support compliance efforts, including infection control, audits, and stock management.
· Previous experience in a receptionist or administrative role (preferably in a medical or clinical setting).
· Friendly, calm, and confident communicator.
· Strong organisational skills with excellent attention to detail.
· Ability to multitask and remain composed under pressure.
· Proficient in using clinical software systems, with a demonstrated ability to learn and adapt quickly (training provided).
· Capable of explaining medical procedures clearly and assessing service suitability based on patient needs.
· Experience in a pregnancy or women’s health clinic.
· Familiarity with medical terminology.
· Phlebotomy training or experience.
· Previous work as a Healthcare Assistant.
· Experience acting as a clinical chaperone.
