Job description
Norman Broadbent plc (AIM: NBB) today is the resurgence of an established heritage brand, working with international clients on senior level permanent and interim executive hires, as well as bespoke intelligence and leadership consulting projects.
We are looking for a full time and experienced administrator based in our Aberdeen office to provide a full support to our team of fee earners. This is a varied and busy role and will be at the heart of the team’s success. Duties will include dealing with everything from booking meetings and travel, organising candidate calls, planning events, invoicing, updating information on our CRM systems and a whole host of other business administration duties.
We work in a hybrid model (typically 2-3 days in the office a week). We currently have four office locations - London, Aberdeen, Edinburgh & Knutsford.
We are seeking an effective communicator and organised problem solver who can prioritise in a bustling environment. As Project Coordinator you will interact with clients and Senior Executives, so we are looking for a confident, experienced individual who understands that quality and care is key.
Other key duties will include:
- Building strong relationships with clients and their EAs.
- Consistent use of our CRM system Ezekia to ensure searches and contact with clients, candidates and generals are process driven and always accurately recorded.
- Managing travel arrangements and expenses for candidates and Directors/ Partners.
- Liaising with the team to prepare billing information and follow company processes to ensure invoices are raised and sent to clients on time.
- Undertake project work as and when required by the company.
- Other ad hoc tasks as required.
Candidate requirements:
- Proven successful track record in and commitment to supporting and working in a busy team.
- A solid EA/administrator background along with strong organisational capabilities and used to diary management/organising travel.
- Pragmatic with a flexible can-do attitude, a strong work ethic, a positive attitude and a team-player mentality.
- High attention to detail and quality conscious, with the ability to multi-task, prioritise and manage expectations and conflicting deadlines.
- Excellent telephone manner; polite and discreet.
- Trustworthy, reliable and confidential.
- Fluent in spoken and written English, with excellent communication (written and oral) and interpersonal skills. Confident in dealing with clients and candidates at all levels. Accurate and thorough.
- Efficient and well organised with a calm approach to work and is unflappable!
- Friendly and personable – likes working as part of a team and a strong relationship builder.
- Accustomed to using a database/CRM.
- Proactive and able to take the initiative when required to do so and has the confidence to be able work on own initiative and with limited supervision.
