Operations Assistant – The Casalyst (Luxury Vacation Rental Company)

The Casalyst is an up-and-coming luxury hospitality brand redefining the guest experience in London. We’re searching for a meticulous, ambitious, and entrepreneurial Operations Assistant to join The Casalyst at a defining moment in our journey. This is more than an operations role — it’s an opportunity to help build one of London’s most exciting luxury vacation rental brands from the ground up. Working closely with the founder, you’ll be at the heart of our mission: delivering flawless 5-star guest experiences, keeping every property impeccably maintained, and helping craft a new standard of hospitality in London. What You’ll Do:


Property Onboarding & Distribution

  • Finalise property agreements and kick off onboarding workflows
  • Collect property details, photos, amenities, and documentation
  • Coordinate professional photography and ensure brand standards are upheld
  • Create listings on Airbnb and other OTAs using Hostaway
  • Perform quality assurance checks and activate listings across platforms


Reservations Management

  • Monitor and respond to guest inquiries across Airbnb, Booking.com, website, WhatsApp, and shared inbox (Front)
  • Vet guests, collect relevant booking information, and process approvals
  • Issue payment links for direct bookings via Stripe and confirm OTA payment statuses
  • Ensure calendar syncing across platforms is accurate and up-to-date


Guest Communication & Experience

  • Send welcome packs, access instructions, and pre-arrival details
  • Coordinate check-ins (including self-check-ins and meet-and-greet services)
  • Respond to guest messages promptly and route issues to the right channels
  • Upsell additional services and ensure each stay ends with a smooth check-out and follow-up
  • Monitor guest reviews and implement strategies to maintain a rolling rating above 4.8/5.


System Management & Reporting

  • Keep data consistent and accurate across Hostaway, Airtable, Stripe, and Xero
  • Flag system errors, data mismatches, and ensure automations are functioning properly
  • Follow SOP checklists with high precision and attention to detail


Cleaning & Maintenance Management 

  • Work with the cleaning and maintenance teams to resolve urgent issues.
  • Monitor the cleaning team daily and assist with scheduling.



You’re a Great Fit If You Have:

  • Excellent written and spoken English with a clear, warm, and helpful tone
  • Strong attention to detail and an ability to follow SOPs precisely
  • Familiarity with short-term rental platforms like Airbnb, Booking.com, Vrbo
  • Experience with tools like Hostaway, Airtable, PriceLabs, Front, and spreadsheets
  • A service-first mindset and calm approach under time pressure
  • A willingness to learn new tech and contribute to process improvement
  • 2+ years of experience in hospitality or operations is a strong plus
  • Highly organised & detail-oriented – You can juggle multiple tasks without missing a beat.
  • Problem solver & quick thinker – You handle unexpected issues calmly and efficiently.
  • Creative mindset – You can effectively create and improve listings.
  • Entrepreneurial Mindset - You want to be a part of something special.
  • Bonus: knowledge of Stripe and Xero systems


Availability

  • In-person position based in London
  • Flexibility to support occasional weekend or evening check-ins on a rota basis

  • Reports directly to the CEO – Josh Kenton
