Rail Fleet Administrator
Main Purpose of the Job:
Provide administrative support so that colleagues are assisted to deliver services to the Rail Fleet. To contribute to meeting team priorities while maintaining own professional development.
Key Tasks
- Undertake administrative tasks, processing mail, maintaining filing systems, archives, and resource libraries, and updating information.
- Use of Microsoft applications such as Outlook, Word and Excel.
- Answering the emails/telephone and liaising with staff, clients, and all divisions to assist in the delivery of Rail Fleet Services.
- Produce correspondence and reports from written documents.
- Learn to accurately input data into computerised systems, databases and spreadsheets and process and retrieve data as necessary.
- Liaise with staff, clients, and other divisions, to share information where appropriate, ensuring that Rail Fleet procedures are properly followed.
- Minute, produce and distribute accurate records of meetings.
- Administer travel, hotels, etc, within company standards.
- Administer financial processes, including, processing invoices, arranging authorisation countersignature and payments.
- Learn to provide support to Rail Fleet as required, including diary management, travel planning, arranging, and supporting events and arranging and servicing meetings.
- Learn to use efficiently Fleet Organisation Recognition System and complete agreed training.
- Learn how to use relevant Fleet Management Systems. Enter and retrieve required data. (Examples; Veho, and Driver Walk around checks)
- Learn how to answer and resolve an issue for staff, customers, or all divisions.
- Learn to manage professional development and prioritisation of workload to include training time required to achieve relevant qualification.
- Undertake Level 3 apprenticeship training framework in Business Administration in accordance with framework is most relevant to the role.
Requirements:
- Minimum 2 years relevant experience
- Working hours: 9am – 17:30pm
- Clean Drivers License
- Must be able to drive on occasions delivering vehicles from to and from employee.
