Job Overview

We are seeking a proactive and detail-oriented individual to join our team as a Sales Support Administrator (Chinese Speaking). The position requires strong coordination skills, a high level of accuracy, and the ability to manage multiple tasks across departments. The candidate must be fluent in both English and Chinese and have the right to work in the UK.


Duties & Responsibilities:

1. PCRS Process

  • Prepare Bill of Materials (BOM) for new finished goods (FG), BOM changes, and new product development (NPD)
  • Communicate with relevant parties to gather information for PCRS submissions
  • Follow up and update PCRS status back to Europe
  • Prepare packaging material requisitions to request material codes
  • Coordinate the preparation of new cartons, pre-printed/overprint labels, and other new packaging materials
  • Prepare supporting documents for invoices/air waybills from designers and Hong Kong teams for film output payments
  • Upload new labels onto the company intranet


2. SAP Sales View Maintenance

  • Maintain material master records
  • Maintain pricing master records
  • Maintain customer master records
  • Apply POP codes, prepare material requisition forms, and create POs for marketing materials
  • Notify order processing and sales teams of newly released FG, including FG codes, labels, and pricing details
  • Communicate with the Data Governance team for updates to FG details in SAP, including preparation of change/deletion forms
  • Liaise with the CC team to resolve SAP-related issues


3. Stock Level Management

  • Monitor stock levels for product labels and POP materials to minimize scrapping costs


4. Sales Administration Support

  • Prepare ingredient declarations and product labels for shipping documents
  • Prepare POP requisition forms for the IE team and warehouse
  • Communicate with PMC on packaging material issues, including shortages, production arrangements, and print quality
  • Coordinate sample shipments to Europe with factories
  • Prepare product images for internal and customer use
  • Handle vendor invoices
  • Arrange translation services when required
  • Provide support to Sales and Marketing teams on product and material-related matters as needed


Education & Experience:

  • Be educated to university degree level or equivalent
  • Minimum of 1–2 years of experience in sales administration


Requirements & Skills:

  • Right to work in the UK
  • Proficiency in both spoken and written English and Chinese
  • Highly self-motivated and resilient and be able to work under pressure and abide by deadlines
  • Must be a team player and assist colleagues across departments when required.
  • Able to work independently.
  • Have a high attention to detail with an ability to multi-task and prioritise a number of conflicting and demanding workloads.
  • Experience of coordinating or participating in admin projects.
  • Competency in Microsoft Office, and business management and presentation tools.
