Job Summary

The Plant Operations Administrator is a vital support role within the Plant Operations function at Pelham. Working closely with the Head of Plant Operations and cross-functional teams, this position ensures the smooth, efficient, and compliant administration of all plant operational activities. The role is responsible for coordinating documentation, maintaining GMP and ISO 22716-compliant records, supporting planning processes, and ensuring seamless communication across the business. This role requires exceptional organisational skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced technical environment. The Plant Operations Administrator plays a key part in maintaining the operational rhythm of the plant, championing a culture of accuracy, accountability, compliance, and continuous improvement.

 

Key Responsibilities:

Operational Administration

·       Provide comprehensive administrative support to the Head of Plant Operations and wider operational teams.

·       Maintain accurate operational records, logs, and documentation in line with ISO 22716 (GMP for Cosmetics) requirements.

·       Prepare and update standard operating documents including reports, SOP’s, work instructions, presentations, KPIs, and meeting minutes.

·       Support the coordination of internal audits, external audits, and regulatory inspections.

Planning Support

·       Assist in the collation and distribution of daily, weekly, and monthly planning reports and communication.

·       Support the Plant Operations teams with data entry into MRP/ERP systems, including schedule updates and material movements.

·       Help launch and coordinate the Sales, Inventory & Operations Planning (SIOP) documentation process, ensuring timely consolidation of inputs from key stakeholders.

·       Track schedule changes and proactively communicate updates to relevant teams.

Compliance & Documentation Control

·       Ensure controlled documents are created, maintained, reviewed, updated, and archived in accordance with GMP and QMS procedures.

·       Support the management of training records, competency matrices, operational SOPs, work instructions, forms and policies.

·       Monitor and maintain compliance logs such as cleaning records, equipment logs, batch documentation, and calibration records.

·       Ensure all CAPA, NCR, OOS and deviation documentation is completed with actions closed in a timely manner.

·       Assist in working towards a paperless process across Plant Operations.


Communication & Coordination

·       Act as a key coordination point between Plant Operations staff and the wider business.

·       Organise operational meetings, prepare agendas, record actions, and track follow-up items.

·       Facilitate communication of plant notices, operational updates, and compliance reminders.

Continuous Improvement & Culture

  • Champion Health & Safety best practices in line with UK HSE regulations.

·       Support continuous improvement (CI) initiatives by raising ideas for improvement, collecting data, maintaining CI logs, and assisting with documentation.

·       Champion site-wide adoption of structured processes, data integrity, and administrative best practices.

·       Contribute to operational excellence by identifying administrative inefficiencies and suggesting improvements.

·       Act as delegate in the absence of the Head of Plant Operations.

 

Experience and Qualifications:

·       Experience in an administrative role within a technical environment (GMP experience advantageous).

·       Strong organisational skills with exceptional attention to detail.

·       Competent in Microsoft Office (Excel, Word, PowerPoint) and comfortable working with ERP/MRP systems and AI.

·       Clear communicator with strong interpersonal and stakeholder coordination skills.

·       Ability to manage multiple tasks, prioritise effectively, and work to tight deadlines.

·       Proactive, solutions-focused mindset with a commitment to supporting operational excellence.

·       Ambitious and determined with a desire to take on extra responsibility and development opportunities.

·       Great sense of humor and comfortable interfacing with all staff and stakeholders.
