Administration, Operations & Production Assistant
Location: North London
Hours: Full-time, Monday to Friday (8:00 AM – 4:35 PM)

The Opportunity
This role is central to the smooth running of the factory and wider operational workflow. Working closely with senior operational leaders, you will support the full order lifecycle — from initial order processing and production scheduling through to despatch, invoicing, and contract management.
The role is ideal for someone who thrives in an organised, process-driven environment and is looking to build a long-term career in operations. Experience is valued, but the organisation also hires for potential, with full training provided in systems, processes, and production workflows.
For someone proactive and ambitious, there is a clear pathway to progress into a more senior operational or office management position within 12–18 months.
Key Responsibilities
Administration & Coordination
- Process daily customer and contract orders using internal systems (including Sage 50).
- Maintain accurate digital and physical records for purchase orders, measurements, and despatch documents.
- Update shared dashboards and operational trackers across OneDrive (Production Reports, DSAR, Delivery Note logs).
- Monitor and respond to incoming emails related to national contracts and internal communications.
- Support clear information flow between tailoring, cutting, and production teams.
Production & Operational Workflow Support
- Prepare and issue production tickets for the cutting team and assist with weekly scheduling.
- Work with senior stakeholders to agree achievable delivery timelines and adjust priorities.
- Assist with Bills of Materials (BOM), ensuring all components are correctly allocated.
- Support logistics, stock movement, and overall workflow management across the business.
Contract & Compliance Management
- Process and update orders via procurement and supplier portals (training provided).
- Generate and upload Advice Notes (ASNs), Delivery Notes, and Invoices to ensure full traceability.
- Check accuracy of service numbers and other compliance requirements.
General Office & Operational Support
- Oversee office supplies and general administrative resources.
- Assist with diary management, scheduling, and operational appointments.
- Support invoicing and fulfilment for corporate, heritage, and public-sector clients.
Essential Skills & Experience
- Experience in operations, administration, or production support.
- Highly organised and detail-driven — able to manage multiple processes simultaneously.
- Strong Microsoft Office and Excel skills; confident working with large datasets and complex trackers.
- Excellent communication skills, both written and verbal.
- Comfortable working in a fast-paced, hands-on environment.
- Proactive, adaptable, and confident in identifying and solving issues early.
