Job description
The Assistant Manager is the operational backbone of the department — managing mid-tier client and supplier accounts while ensuring quality, speed, and accuracy.
They act as the Manager’s right hand: supporting execution, coordinating daily tasks, and mentoring Senior Executives to maintain excellence across all work streams.
They also operate group tours throughout the United Kingdom & Europe from Global Customers.

RESPONSIBILITIES:
Client & Supplier Relationships
- Handle a portfolio of mid-tier clients and suppliers, ensuring reliability and service consistency.
- Build strong relationships with agent/clients with whom you will liaise daily. Then with suppliers in order to create a strong partnership.
- Build quotations for our agents – analyse their needs to create the perfect gateway, & research and develop innovative products in both new and existing destinations
- Create itineraries and prepare tour quotations.
- Ensure existing products are kept up to date and in line with market trends.
- Follow up for feedback from clients and adjust product accordingly to ensure quality.
- Operate the groups once confirmed by working closely with suppliers including hotels, transports, guides, attractions, restaurants etc.
- Book services for confirmed bookings and ensure accurate details are entered and kept updated in the back-office booking system
- Able to find new suppliers if needed & ensure the supplier is suitable for the type of clients
- Manage the emergency of on ground groups that you manage and also assist the department for their groups if needed
- Respond promptly and professionally to all communications.
- Escalate key issues or disputes to the Manager, with clear documentation.
- Support in onboarding new suppliers or clients under the Manager’s supervision.
Delivery & Coordination
- Manage and review team deliverables for accuracy and profitability.
- Coordinate workloads, ensuring team SLAs and KPIs are met.
- Support in the preparation of key reports and dashboards for Managers and GMs.
- Oversee the smooth handover between Sales, Quotations, and Operations.
Training & Mentorship
- Train and support Senior Executives and Executives joining the department.
- Conduct quality checks and provide constructive feedback.
- Ensure all team members follow SOPs and maintain system hygiene.
- Reinforce company standards for communication and responsiveness.
Process & Data Accuracy
- Maintain up-to-date CRM entries for all accounts under responsibility.
- Flag system or data errors to the Manager and Data team.
- Support continuous improvement by suggesting better processes or tools.
Reporting & Communication
- Update Managers on key metrics: response times, confirmations, and client satisfaction.
- Act as first escalation point for day-to-day issues in the Manager’s absence.
- Ensure smooth coordination with internal teams (Contracting, Data, Accounts).
