Purpose of Role


The Tender Manager role provides comprehensive operational, administrative, and project coordination support to the International Key Account Managers (IKAMs). The purpose of the role is to ensure seamless delivery of account activities from the initial project brief through to handover while enabling the sales team to deliver high-quality pitches, tenders, quotations, and client engagements.

The role is central to enabling consistent sales performance, strengthening customer relationships, and supporting the creation of competitive, high-quality tender submissions that reflect Flokk’s brand standards.


Key Responsibilities:


Project & Sales Support

  • Manage projects from initial brief through to coordination of handover to the Project Manager.
  • Provide reliable support and guidance to IKAMs to help upsell products and achieve consistent sales results.
  • Support the full pitch process, including managing production of PQQs, tenders, RFPs, and building PowerPoint presentations in line with brand guidelines.
  • Assist with preparation, coordination, and submission of bids for IKAM accounts.


Quotations & Tendering

  • Produce detailed and accurate quotations within required time limits.
  • Build competitive, compliant tenders including product selection, scheduling, and pricing.
  • Register Flokk on customer tender portals and maintain an up-to-date overview of login details and platform access.


Operational & Administrative Coordination

  • Maintain CRM project records and stakeholder mapping, ensuring updates are accurate and timely.
  • Organise sample orders, ensuring all required materials accompany them.
  • Support trade fairs, customer events, and client meetings.
  • Act as a key point of contact for Customer Service regarding IKAM-related needs.
  • Data, Documentation & Systems.
  • Develop and maintain a reference list for IKAM accounts.
  • Create and maintain a database of product datasheets.
  • Document and manage calculations and conditions for finalised customer agreements.
  • Daily use of Excel, InDesign, AutoCAD, pCon and PowerPoint to support all activities.


Qualifications and Key Skills:

  • Experience in sales support, bid coordination, project coordination or similar client-facing administrative roles.
  • Background in furniture, interiors, manufacturing, or design-related industries (preferred).
  • Competence with tendering or bid submission processes.
  • Strong proficiency in Microsoft Excel, PowerPoint, and digital presentation tools.
  • Working knowledge of InDesign, AutoCAD, and pCon (or similar design/configuration software).
  • Ability to work with pricing tools, specification data, and tender platforms.
  • Comfortable maintaining structured databases and documentation.

  • Proactive, solutions-oriented, and able to work independently while supporting wider sales objectives.
