We are partnering with a fast-growing, high-performing hedge fund to recruit a Facilities Team Assistant for their London office. What you’ll do

As part of the Facilities and Front of House team, you will support day-to-day operations across the London office, helping to maintain a professional, welcoming, and efficient environment. Key responsibilities include:

Reception and Front of House

  • Welcome clients and visitors with professionalism and warmth
  • Escort guests to meetings and provide refreshments as needed
  • Maintain high standards across all client-facing areas
  • Manage meeting room bookings and ensure rooms are prepared and cleared efficiently

Facilities Management

  • Coordinate repairs, maintenance, and office services, liaising with vendors and contractors
  • Support Health & Safety compliance, including visitor logs and security badges
  • Order and replenish office and pantry supplies across London and Paris offices
  • Manage mail, couriers, and office equipment servicing
  • Process invoices and maintain vendor relationships

Team and Administrative Support

  • Provide ad hoc support to Executive Assistants and the wider office team
  • Assist with internal and external events, including logistics and catering
  • Support travel arrangements and other administrative tasks as required
  • Prepare reports, presentations, and documentation for facilities projects
  • Cover for the Front of House Manager during absences
