We’re looking for an organised, proactive and people‑focused coordinator to provide essential support to a Head of Business Development & Sponsorship during a particularly busy period. This is a hands‑on role at the heart of a successful training services team, ideal for someone who thrives in a fast‑paced environment and enjoys balancing detail‑driven admin with confident client and supplier liaison.

About the Role

You’ll play a key role in ensuring the smooth delivery of bespoke training programmes and sponsorship activities. Your work will directly support client satisfaction, trainer coordination, event preparation, and the operational flow of contracts and documentation.

This role suits someone who is highly organised, comfortable juggling multiple priorities, and able to communicate clearly and professionally with clients, trainers, sponsors, and internal teams.

Key Responsibilities

Training Services Support

  • Prepare bespoke training documentation and support materials.
  • Create client contracts and trainer contracts.
  • Track and chase outstanding contracts to ensure timely signature.
  • Upload all relevant contracts to the CMS system.
  • Liaise with trainers regarding delivery tools and pre‑read materials.
  • Coordinate with clients on delivery logistics, including virtual invites and in‑person arrangements.
  • Manage post‑delivery follow‑up: sending slides and leave‑behinds, arranging 1:1 assessments, and organising digital badges and certificates.

Sponsorship Support

  • Curate and prepare sponsor contracts.
  • Upload sponsor agreements to the CMS.
  • Chase sponsor logos, profile text and other required assets.
  • Send exhibitor packs for the annual conference.
  • Attend events (where applicable) to support sponsor engagement.
  • Liaise with the Events team to ensure sponsor details are correctly uploaded to the website and event app.
  • Allocate and communicate exhibitor stand numbers for the annual conference.
  • Help monitor sponsor stand activities to avoid duplication.
  • Support sponsor speakers with pre‑event and on‑the‑day logistics.
  • Assist telesales/telemarketing for bespoke events targeting specific member groups.

General Coordination

  • Maintain accurate spreadsheets and status trackers, including contract progress and invoice details.
  • Prepare information for the Finance team to support timely invoicing.
  • Deliver a consistently high level of customer service to all stakeholders.

About You

We’d love to hear from you if you are:

  • Exceptionally organised with strong attention to detail.
  • Confident communicating with clients, trainers, sponsors and internal teams.
  • Comfortable managing multiple tasks and deadlines simultaneously.
  • Tech‑savvy and quick to learn new systems (experience with CMS platforms is a bonus).
  • Professional, proactive, and able to represent the team with warmth and clarity.
  • Someone who enjoys being the operational backbone of a busy function.

What does this role offer?

You’ll be stepping into a supportive, collaborative team where your work genuinely makes a difference. This is a great opportunity to gain experience in training delivery operations, sponsorship management, and event coordination within a respected organisation.
