Workforce Manager
Full Time | Monday–Friday 09:00–17:00
Up to£50,000 per annum
Reporting to Director of Operations
Are you a workforce planning specialist who thrives on structure, data, and operational excellence?
We’re looking for a Workforce Manager to take full ownership of clinical workforce planning, scheduling and utilisation across a fast-growing mental health and neurodevelopmental service.
This is a pivotal role ensuring the business has the right clinicians, with the right skills, in the right place, at the right time.
You’ll sit at the heart of operations - bridging clinical leadership, recruitment, payroll and finance - ensuring services run efficiently, profitably, and in line with patient demand.
You will lead the Clinical Liaison / Scheduling team and take end-to-end responsibility for:
Workforce Planning & Demand Management:
- Own demand and capacity modelling across Private, Adult NHS and Children’s services
- Translate referral forecasts into clear workforce requirements
- Identify gaps, risks and surplus capacity
- Align recruitment pipelines with service growth
Scheduling & Rota Management:
- Lead all clinical rota creation and optimisation
- Maximise clinic utilisation and patient throughput
- Reduce DNAs, late cancellations and underused capacity
- Hold clinicians accountable to agreed session templates and standards
Leave & Availability Management:
- Oversee holiday and absence approvals
- Ensure real-time workforce visibility
- Arrange cover to minimise patient impact
Onboarding & Readiness:
- Coordinate induction, training and deployment
- Ensure clinicians are scheduled in line with scope and competency
- Set clear productivity and reporting expectations
Payroll & Data Integrity:
- Validate payroll (employed & contractor clinicians)
- Reconcile shifts vs schedules
- Resolve pay queries quickly and accurately
- Maintain high-quality workforce reporting data
Performance & Reporting:
- Track KPIs: utilisation, fill rates, cancellations, cost to serve
- Identify inefficiencies and capacity bottlenecks
- Escalate workforce performance concerns appropriately
