A growing, investor-backed renewable energy business is looking for an experienced Executive Assistant and Office Manager to support its Chief Executive Officer, Board and senior leadership team. This is a broad and trusted role at the centre of a fast-moving business.

The successful candidate will provide high-quality executive support, manage the Board and leadership meeting cycle, and take day-to-day ownership of the London office. The balance will favour executive and Board support, with office management forming an important secondary part of the position.
The role: Working closely with the CEO and senior team, you will bring structure, judgement and forward planning to busy diaries, meetings and business priorities. You will be comfortable working with confidential commercial and financial information, dealing with senior stakeholders and ensuring that decisions and actions are properly recorded and followed through.
Responsibilities
Executive and leadership support
- Provide proactive executive support to the CEO, with additional coordination for the wider senior leadership team where required.
- Manage complex and changing diaries, prioritising meetings and resolving conflicts with sound commercial judgement.
- Coordinate UK and international travel, accommodation, itineraries and associated logistics.
- Manage inboxes, correspondence, expenses and other confidential administration as agreed.
- Prepare agendas, briefing packs, presentations and meeting materials, drawing information together from across the business.
- Act as a professional first point of contact for investors, advisers, customers, delivery partners and other senior external stakeholders.
- Support leadership offsites, company events and other projects that require careful planning and coordination.
Board and governance support
- Coordinate the annual Board and committee calendar, scheduling meetings and managing deadlines for papers and approvals.
- Work with contributors to compile, format and circulate Board packs securely and on time.
- Attend Board and selected leadership meetings to take clear, accurate minutes where required.
- Maintain action logs and decision records, following up with owners and helping to keep agreed actions on track.
- Support the organisation of governance, shareholder and adviser meetings, including rooms, technology, papers and logistics.
- Maintain appropriate confidentiality, document control and records management standards.
Office management
- Take day-to-day responsibility for the smooth running of the London office and provide a welcoming, professional environment.
- Manage facilities, meeting rooms, office supplies, equipment, access arrangements and relationships with building management.
- Coordinate office suppliers and service providers, reviewing quality, contracts and costs where appropriate.
- Oversee health and safety administration, office records and practical arrangements for new starters and visitors.
- Organise team meetings, office days and social events, working with colleagues across the UK and Europe.
- Identify and implement practical improvements to administrative and office processes as the business grows.
Required Skills
- Substantial experience as an Executive Assistant supporting a CEO, founder, Board member or senior leadership team in a demanding commercial environment.
- Direct experience of preparing Board or committee meetings, coordinating papers and producing accurate minutes and action logs.
- Experience of office management, facilities coordination or broader business operations within a small or growing organisation.
- Strong diary and travel management skills, including complex schedules and international arrangements.
- Excellent written English and the ability to produce clear correspondence, agendas, minutes and presentation materials.
- Advanced Microsoft Office skills, particularly Outlook, Word and PowerPoint; confidence learning new systems and improving processes.
- High levels of discretion, accuracy and organisation, with the judgement to prioritise independently and anticipate what is needed.
- A calm, adaptable and practical approach, with the confidence to work closely with senior leaders and build trusted relationships across the business.
Preferred Skills
Useful additional experience
- Experience in renewable energy, infrastructure, investment, private equity or another project-led and regulated sector.
- Exposure to an international or multi-entity business, particularly one operating across European markets.
- Experience supporting a business through growth, investment, transactions or organisational change.
The person
- You will be a confident and dependable senior EA who enjoys being close to the activity of a growing business.
- You will combine first-rate organisation with good judgement and a willingness to take ownership, whether preparing a Board meeting, protecting the CEO's time or resolving an office issue.
- The role will suit someone who is comfortable with pace and changing priorities, but who remains thorough, discreet and composed.
