Operations Executive – Luxury Travel


Location: South London | Hybrid


The Role

An opportunity has arisen for a highly organised and detail-driven Operations Executive to join a fast-paced luxury travel business. Reporting to the Operations Manager, this role is central to ensuring bookings are processed accurately and clients receive a seamless post-confirmation experience through to travel.

You will take ownership of confirmed bookings, liaising with suppliers, preparing documentation, tracking payments, and managing amendments while maintaining exceptional accuracy and service standards. The role also offers involvement in systems, workflow, and process improvement projects across the operations function.


Key Responsibilities

  • Manage bookings from confirmation through to travel, ensuring accuracy at every stage
  • Confirm all services with suppliers (accommodation, flights, transfers, activities)
  • Handle amendments, cancellations, and operational queries efficiently
  • Track supplier invoices and client payments
  • Prepare and quality-check client documentation
  • Liaise with ground handlers and suppliers to resolve operational matters
  • Maintain clear and professional client communication post-booking
  • Conduct booking file checks to ensure consistency and high standards
  • Identify process improvements and support system and workflow enhancements
  • Collaborate across teams to ensure smooth service delivery


Candidate Profile

  • Minimum two years’ experience in an administrative or client-focused role, ideally within luxury travel
  • Strong organisational skills with the ability to prioritise in a fast-paced environment
  • Exceptional attention to detail and numeracy
  • Clear, professional communication skills
  • Calm under pressure and able to manage multiple bookings simultaneously
  • Proactive, solutions-focused, and confident working independently
  • Strong understanding of high-end customer service expectations
  • Competent in Microsoft Word, Excel, and Adobe
