About the role:

As a member of our Facilities Team, you will help provide high-level customer service and front of house operations within our London office, manage all facilities related needs and support the Office Manager in day-to-day operations. Your focus will be on ensuring a seamless working environment for all employees as well as maintaining a high standard of service for both employees and visitors.


Key Responsibilities:

  • Greet all in-person visitors in a professional and friendly manner, direct any calls to the appropriate people and handle general enquires from both staff and visitors.
  • Monitor meeting room bookings, ensuring that meeting rooms are prepared for scheduled meetings with necessary equipment and supplies.
  • Carry out daily visual checks of all communal areas of the office, ensuring areas are clean and organised, well maintained and office stocks are monitored and replenished.
  • Coordinate and order catering and refreshments for meetings and events as requested.
  • Monitor office conditions, addressing any potential safety hazards and reporting them for timely resolution within the hazard, near miss reporting site.
  • Assist with general administrative duties, such as the management of filing within SharePoint, incoming and outgoing mail and parcels, office organisation.


Qualifications & Experience:

  • Prior experience working within a reception environment or similar administrative role.
  • Experience dealing with stakeholders at all levels of an organisation.
  • Excellent communication skills, attention to detail and ability to prioritise multiple incoming tasks.
  • Excellent core IT skills, especially with Microsoft Office applications and Outlook.
