The Role

The Sample Coordinator plays a central role in the smooth day-to-day running of the London showroom. This is a highly visible position at the heart of the business, responsible for sample and stock logistics, inventory accuracy and global shipment coordination. You will work closely with international colleagues, particularly the New York team, to ensure seamless processes across all locations.

Key responsibilities include:

Samples

  • Maintaining and organising an extensive samples library and stockroom
  • Tracking sample location, condition and movements

Logistics & Administration

  • Coordinating the receiving, checking and preparation of stock orders in London
  • Managing relationships with international shippers and suppliers
  • Reviewing and improving operational processes to enhance efficiency

Courier & Shipping Coordination

  • Acting as the primary point of contact for courier services
  • Booking, tracking and troubleshooting deliveries

Stakeholder Communication

  • Providing accurate updates on sample availability and delivery timelines


This role is ideal for someone who thrives on detail, organisation and ownership, and who enjoys working within a fast-paced, high-end environment.

The Ideal Candidate

You will likely have:

  • Experience in an administrative or operations role, ideally within luxury, design or fashion
  • Experience using inventory management systems and standard office software, Airtable experience is advantageous
  • The ability to anticipate challenges and act ahead of issues
