Senior Events Officer (International Conference)

Salary: £34000 - £35000 per annum

Contract: 3-month temporary role (February – end of April).

Location: Hybrid (Central London office / Home) with travel to France in April.

Expenses: Travel, accommodation, and most meals whilst in Lyon will be provided.


Merrifield Consultants is pleased to be partnering with a leading international membership organisation within the healthcare and voluntary sector. This global organisation is looking for an experienced Senior Events Officer to join them on a short-term basis to support the delivery of their major biennial conference.


The Role

This is a fast-paced, 3-month contract focused on the final coordination and onsite delivery of a large-scale international conference taking place in Lyon, France. You will work closely with the Head of Events to manage a complex programme, from abstract systems to speaker logistics.


Key Responsibilities:

  • Programme Coordination: Lead on the conference programme, managing parallel sessions, poster presentations, and session chairs.
  • Systems Management: Take charge of the abstract submission and registration systems, ensuring all data is accurate and fees are collected.
  • Speaker & VIP Liaison: Act as the main point of contact for keynote speakers and VIPs, ensuring all requirements are met.
  • Logistics: Oversee travel bursaries, accommodation bookings, and the shipping of event materials.
  • Onsite Delivery: You will be required to be onsite in Lyon from 11/12 April to 17 April. Please note these are long days (e.g. 06:45 to 20:00) requiring high energy and a hands-on approach.
  • Communication: Update the conference website and manage all event-related enquiries, including the processing of visa support letters.


What You Need

  • Large-scale Conference Experience: Proven track record of delivering large, complex conferences (Essential).
  • Technical Proficiency: Hands-on experience with abstract management and registration software (Essential).
  • Sector Background: Experience working within the voluntary or non-profit sector (Essential).
  • Language Skills: Excellent written and spoken English. Proficiency in French or Spanish is a distinct advantage.
  • Working Style: A calm head under pressure, the ability to work independently, and a flexible approach to working hours during event delivery.
  • Digital Skills: Experience updating websites or managing event apps.
