Job description
The role of Bookings is a key part of the production team. You’ll be in the heart of the production office, booking in schedules, communicating & negotiating with producers, managing the operators' days and making sure all the correct resources are in place for a job to hit delivery.
This role is in the office 4-5 days a week, possibility of 1 day WFH some weeks.
Key Responsibilities
· Assisting production team booking in their scheduled work with our available resource, and chasing the team for changes in these schedules, so that our system is constantly up to date and shows a true representation of the current, future and past work going through the facility.
· Making sure that you’re looking ahead at future months, flagging and resolving any potential resource issues that would cause a problem. It is important that when allocating resources, you are thinking of the most cost-effective route to carry out each job.
· Ensure that reception and all other relevant parties are aware of meetings, bookings and client attends.
· Being aware of conversations in the production office that will need action on for example a schedule pushing back.
· Ensuring there is constant & clear communication with the production team.
· Take general calls - it is essential that all calls to production are answered and that clients feel they are being cared for.
· When clients call with new enquiries and a producer is not available, take the brief ensuring that all relevant details are noted to be passed to the production team. Let the client know who will be helping them and when that will be.
· Assist producers as/if required, checking with the head of production where their assistance is most required.
· Sourcing and booking Freelance talent, negotiating their rate and ensuring that they’re worksheets are up to date and that their invoices and payments are processed.
· Responsible for sending out a daily email informing the team what the operators are working on and where, for the following day.
· General admin, job creation, billing, PO’s etc.
Skills Required
· Minimum of 1 years working within a commercials post production company
· Strong organisational skills and the ability to multitask
· Excellent communication & negotiation skills
· Familiarity with ScheduALL, ceta, Xytech or similar bookings software
· Must have experience using Microsoft Office
· Basic knowledge of online facility services, infrastructure and VFX pipelines
· Good team player
· Calm under pressure
· Proactive & problem solving
Nice to have
- Yuno Juno experience
- Experience with Cirkus, scheduling systems
- Understanding day to day running of edit suites
