MacGregor Black are partnering with a market-leading, fast-paced FMCG organisation on the search for an experienced Office Manager & Personal Assistant.


This is a pivotal role within a high-energy, commercially driven FMCG environment where pace, agility, and operational excellence are critical. You will be responsible for ensuring the smooth and efficient running of the office while delivering high-quality, proactive PA support to senior leaders.

Operating at the heart of the business, you will create structure and organisation in a fast-moving setting, enabling leaders to remain focused on strategic priorities. You will oversee day-to-day office operations, coordinate key activities, and act as a central point of contact across multiple internal and external stakeholders.

This role requires a highly organised, detail-oriented professional who thrives in a dynamic FMCG environment where priorities can shift quickly, and responsiveness is essential.


Key Responsibilities:


  • Provide high-level PA support to senior commercial and operational leaders.
  • Manage complex and constantly evolving diaries, prioritising effectively within a fast-paced FMCG setting.
  • Organise meetings, prepare agendas, circulate papers, and take minutes where required.
  • Draft correspondence, prepare presentations, and manage inbox communications.
  • Coordinate travel, itineraries, accommodation, and expense management.
  • Act as a trusted gatekeeper, ensuring leaders remain focused on business-critical activity.
  • Oversee the day-to-day running of a busy FMCG office environment.
  • Ensure the office remains safe, compliant, efficient, and welcoming.
  • Manage supplies, equipment, shared spaces, and housekeeping standards.
  • Liaise with facilities providers, contractors, landlords, and service partners.
  • Coordinate planned and reactive maintenance, deliveries, and repairs.
  • Oversee visitor management, access control, parking, and security protocols.
  • Support Health & Safety compliance including risk assessments and first aid coordination.
  • Prepare purchase orders and manage office budgets.
  • Track spend against cost centres within a commercially focused FMCG environment.
  • Support procurement of office equipment, furniture, and services.
  • Maintain accurate office records, contracts, and compliance documentation.
  • Deliver a professional and seamless experience for employees and external visitors.
  • Organise leadership meetings, workshops, town halls, and team events.
  • Coordinate catering, logistics, materials, and follow-up actions.
  • Support employee engagement and wellbeing initiatives.
  • Act as a central point of contact for employee queries and issue resolution.
  • Support internal communications and office-wide announcements.
  • Anticipate operational challenges within a fast-paced FMCG setting.
  • Identify and implement improvements to office systems and ways of working.
  • Build strong cross-functional relationships across Commercial, Operations, and People teams.


What We're Looking For:


  • Proven experience as an Office Manager, PA, or EA within a fast-paced FMCG or similarly dynamic environment.
  • Highly organised with exceptional attention to detail.
  • Calm and composed under pressure, with the ability to manage competing priorities.
  • Proactive problem-solver who anticipates needs before they arise.
  • Strong relationship builder across all levels of an organisation.
  • Commercially aware with experience managing budgets and cost centres.
  • Confidential and discreet when handling sensitive information.
  • Customer-focused with a passion for delivering an outstanding office experience.


This is a 5day at site role.

Salary: £40-45k
