Bid Administrator


Role Overview

We’re looking for a proactive, detail-oriented Bid Administrator to support our growing bid team across the group. This is a key role in a fast-paced, deadline-driven environment, focused on PQQ submissions, maintaining bid libraries, supporting content creation using Autogen AI, and preparing high-quality client-facing documents and presentations. You’ll need strong reading, writing, and proofing skills, and the confidence to communicate clearly across teams to keep submissions accurate and on track.


Key Responsibilities

PQQ Coordination

  • Responsible for the coordination, completion, and formatting of PQQ submissions.
  • Work with internal stakeholders to gather the required information.
  • Use Autogen AI to support the generation and refinement of written responses.

Bid Library & Credentials Management

  • Maintain and update bid libraries across all group companies, including CVs, case studies, policies, accreditations, and references.
  • Track updates, manage version control, and ensure consistency across materials.
  • Tailor and prepare credentials packs for upcoming opportunities.

Presentation & Submission Support

  • Support the team in developing mid and post-tender presentations.
  • Format and structure slides in line with brand guidelines.
  • Assist in coordinating content and presentation prep.

General Bid Administration

  • Set up folders, trackers, and templates for new bids.
  • Provide day-to-day administrative support to keep submissions running smoothly.
  • Contribute to ongoing improvements to team tools, templates, and processes.


Skills & Experience

Essential

  • Experience supporting PQQ submissions and coordinating input from multiple contributors.
  • Excellent reading, writing, and proofing skills, with strong attention to detail.
  • Clear, confident communicator — both written and verbal.
  • Highly organised and able to manage multiple deadlines at once.
  • Proficient in Microsoft Office (Word, PowerPoint, Excel, Teams) and comfortable using InDesign.


Desirable

  • Experience using Autogen AI or similar content generation tools.
  • Familiarity with procurement portals and submission platforms.
  • Background in construction, fit out, or a project-based industry.
  • An interest in developing content or progressing into a bid writing role.
