Job Title: Group Sales Co-ordinator
Reports To: Head of Group Sales
Hours: 28 hours per week, spread over 5 days (Monday to Friday)
Position Summary
The Group Sales Co-ordinator supports the group sales efforts for a portfolio of 4 and 5 star hotels, assisting with the co-ordination, documentation, and communication of group and conference requests. This role is ideal for an events professional who is detail-oriented, service-driven, and eager to learn luxury hotel sales and representation. The co-ordinator acts as an extension of each hotel’s sales team, ensuring accuracy, responsiveness, and brand-appropriate communication.
Key Responsibilities
- Assist with group enquiries and RFP responses for a portfolio of luxury hotels
- Support communication between clients, hotel sales teams, and internal representation staff
- Track key deadlines including option dates, cut-off dates, deposits, and attrition
- Maintain accurate records in CRM and sales systems
- Ensure group details are correctly transferred to on-property sales and events teams
- Assist with site inspections, sales calls and familiarisation trips
- Respond to client requests in a timely, professional manner
- Uphold brand standards and service expectations for 4 and 5 star hotel partners
- Assist with post-event follow-up and administrative close-out
- Attend industry events as required
Qualifications & Skills
- Ideally 2 years of experience in events or hotel sales
- Strong interest in luxury hotels, conferences, and group sales
- Excellent organisational skills, customer service and attention to detail
- Professional written and verbal communication skills
- Ability to manage multiple tasks and deadlines in a fast-paced environment
- Proficiency in Microsoft Office; familiarity with Cvent is a plus
- Positive, service-oriented attitude with a willingness to learn
Social Media & Digital Skills
- Support basic social media activity, as directed by the sales team members
- Assist with curating and organising content related to site visits, client events, hotel updates, and industry activity
- Draft simple, brand-appropriate captions and posts that align with luxury positioning and tone
- Blog creation and e-shot implementation
- Monitor engagement and flag relevant client or industry interactions to the sales team
- Demonstrate comfort using platforms such as LinkedIn and Instagram; familiarity with content scheduling tools is a plus
Education
- BTEC/Degree in Hospitality, Tourism, Business, or Event Management preferred, but not essential
