About Mayfair Children’s Clinic


Mayfair Children’s Clinic is a rapidly growing, consultant-led private paediatric outpatient service located in the heart of Mayfair. We provide specialist care for babies, children and adolescents across a broad range of paediatric specialties, in a calm and welcoming environment designed with young patients and their families in mind.


Our team of experienced paediatric consultants is expanding, and we are building the administrative infrastructure to match. This is an exciting time to join us as we continue to grow.


The Role

The Medical Secretary is a central and visible role within the clinic. You will be the first point of contact for patients and families, in person, by telephone and via email, and will play a key part in ensuring every interaction with the clinic is professional, efficient and welcoming.


Working closely with our consultants and their PAs, you will manage appointment scheduling, maintain accurate patient records and support the smooth day-to-day running of the clinic. This role is offered on a part-time or full-time basis.


Key Responsibilities

Patient Experience and Reception

  • Serve as the primary point of contact for patients and families attending the clinic, in person and remotely.
  • Provide a warm, professional welcome to all visitors and support families throughout their appointment.
  • Manage patient check-in efficiently and ensure the waiting environment remains calm and organised.
  • Handle patient enquiries promptly and sensitively via telephone, email and in person.


Appointment Coordination

  • Schedule and manage patient appointments using the clinic’s electronic patient record system.
  • Assist patients with booking initial consultations, follow-up appointments and procedures.
  • Maintain accurate and well-organised clinic lists for all consultant sessions.
  • Handle appointment changes, cancellations and rescheduling in a timely and courteous manner.


Clinic Administration

  • Upload clinic notes, letters and documentation accurately to patient records.
  • Support the preparation of administrative materials ahead of consultant clinics.
  • Ensure patient information is recorded and maintained in line with clinic procedures and data protection requirements.
  • Assist with general administrative tasks as required for the effective running of the clinic.


Consultant and PA Liaison

  • Liaise effectively with consultants and their personal assistants regarding clinic schedules, correspondence and documentation.
  • Ensure clinic letters and patient correspondence are received and uploaded to records promptly.
  • Act as a reliable communication link between the clinical and administrative teams.


Skills and Experience


Essential

  • Previous experience in a patient-facing, reception or administrative role.
  • Excellent organisational skills with strong attention to detail.
  • Professional written and verbal communication skills.
  • Confident using digital systems and administrative software.
  • Ability to manage competing priorities calmly and effectively in a busy environment.
  • A warm and professional manner with patients, families and colleagues.


Desirable

  • Experience working in private healthcare or a clinical setting.
  • Familiarity with electronic patient record systems, such as Semble.
  • Experience coordinating consultant clinics or managing medical correspondence.

The successful candidate will be someone who takes genuine pride in the quality of their work and the experience they create for patients and families. You will be composed under pressure, proactive in your approach and comfortable working both independently and as part of a small, collaborative team.


You will bring excellent interpersonal skills, a high level of personal organisation and the confidence to manage digital systems and clinic processes efficiently. Experience in a private healthcare environment would be an advantage, though a strong background in a high-quality, patient-facing setting is equally valued.


Working Pattern

This role is offered on a part-time or full-time basis. Occasional flexibility may be required to support consultant clinic sessions. The position is on-site.


Salary

£30k - £35k FTE
