The surgery is looking for a highly motivated, hardworkingindividual with excellent communication skills; who can work under pressure andwith initiative.The practice has a well-established and hardworkingreception and administration staff, and we are looking for someone who will beflexible to join the teamMain duties of the job TheReceptionist will be responsible for undertaking a wide range of receptionduties and the provision of general support to the multidisciplinary team. Duties can include, but are not limited to,greeting and directing patients, the effective use of the appointment system,booking appointments, the processing of information (electronic and hard copy)in a timely manner and in accordance with current policies, assisting patientsas required and supporting the administration team with patient registration,The post-holder will act as the central point of contact forpatients, be responsible for the distribution of information, messages andenquiries for the clinical team, liaise with multi-disciplinary team membersand external agencies such as secondary care and community serviceproviders.The Receptionist will support staffwith the distribution of information, messages and enquiries for the clinicalteam, liaising with multidisciplinary team members and external agencies suchas secondary care and community service providers.The post-holder will be an integralpart of the general practice team.About us We are a busy practice with over 20 staff. We have 7 Doctors, 3. Nurses a Nurse associate, 10 administration staff and 2 secretaries. We work closely as a team and everybody is approachable and we support each other. You will feel part of the team as soon as you start your employment.Job responsibilities Job DescriptionThe following are the core responsibilities of a Receptionist in delivering health services. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:Accurately detail information on patients records within the clinical systemMaintain and monitor the practice appointment systemProcess personal, telephone and e-requests for appointmentsAssist with total triage administrationAnswer incoming phone calls, transferring calls or dealing with the callers request appropriatelySignpost patients to the correct serviceInitiate contact with and respond to, requests from patients, team members and external agenciesPhotocopy documentation as requiredData entry of new and temporary registrations and relevant patient information as requiredInput data into patients healthcare records as necessaryDirect requests for information, i.e., DSAR, insurance/solicitors letters and DVLA forms to the administrative teamManage all queries as necessary in an efficient mannerCarry out system searches as requestedSupport all clinical staff with general administrative tasks as requestedUndertake a broad spectrum of administrative duties commensurate with the roleBe an integral part of the general practice teamAct as a chaperone as requiredBe aware of duties and responsibilities regarding current legislation and adhere to practice policies and procedures on safeguarding adults and safeguarding childrenSupport in the delivery of enhanced services and other service requirementsUndertake all mandatory training and induction programmesContribute to and embrace the spectrum of clinical governanceMaintain a clean, tidy, effective working area at all timesAttend a formal appraisal with their manager at least every 12 months. Once a performance/training objective has been set, progress will be reviewed on a regular basis so that new objectives can be agreedQualifications A good standard of education with an expectation of having both GCSE Maths and English at Grade C (Level 4) or above, or Functional Skills Level 2 in Maths and EnglishNVQ Level 2 in Health and Social CareExperience Excellent communication skills and effective in communicating and understanding patient needsCompetent in the use of MS Office and OutlookProblem solver with the ability to process information accurately and effectively, interpreting data as requiredAbility to use own initiative, discretion, and sensitivityAble to get along with people from all backgrounds and communities, respecting lifestyles and diversityAbility to work as a team member and autonomouslySensitive and empathetic in distressing situationsGood organisational skillsClinical IT system user skills and the ability to record accurate notesPunctual and committed to supporting the team effortHigh levels of integrity and loyaltyClear, polite telephone mannerFlexible and cooperativeMotivatedUnderstanding of safeguarding adults and childrenChaperone procedureDemonstrate personal accountability, emotional resilience and work well under pressureKnowledge of and ability to work to key policies and proceduresOther requirements/wider responsibilitiesDisclosure and Barring Service Check This post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service (formerly known as CRB) to check for any previous criminal convictions.
