About the RoleWe are seeking a highly organised, confident and proactive Staff Coordinator to join our growing Events Team. This is a pivotal operational role responsible for coordinating event staff, managing logistics, and ensuring our nationwide events are fully and effectively staffed.

With over 350 live event days per year across the UK, this position requires exceptional planning skills, strong communication abilities, and the confidence to make informed staffing decisions in a fast-paced environment.

You will work closely with the Events Manager and wider team to ensure smooth delivery before, during, and after each event.

Key Responsibilities

Schedule and allocate freelance staff across 350+ annual event days

Match staff skillsets to event requirements to ensure operational excellence

Ensure events are neither under-staffed nor over-staffed by analysing booking volumes and customer numbers

Manage staffing logistics nationwide, ensuring clear coverage and contingency planning

Maintain clear and professional communication with up to 1,000 freelance team members

Provide clear event briefings, role expectations and operational guidance

Recruit, onboard and train new freelance staff

Deliver structured onboarding processes and event-specific training

Accurately document staff allocations and event details within the CRM system

Maintain up-to-date staffing records and compliance documentation

Handle last-minute changes and problem-solve staffing challenges efficiently

Conduct post-event reviews and provide feedback reports to the Events Manager

Identify opportunities to improve staffing processes and event delivery

Desirable Experience

Previous experience in Events Coordination

Recruitment or staffing experience

Experience managing freelance or remote teams
