Robert Half is partnering with a a well-established organisation operating within the building materials and construction supply sector, supporting trade professionals and customers across multiple locations in search for a Executive Assistant to support the executive team of the business.


Location: Central London

Hybrid: 3-4 days onsite depnding on CEO and senior stakeholder schedules.


***Executive Support Assistant***


The role:


The Executive Support Assistant will provide high-level, proactive support to members of the Executive Team, ensuring effective time management, coordination, and operational efficiency.

This role requires discretion, commercial awareness, and the ability to anticipate needs in a fast-paced, high-accountability environment. The Executive Support Assistant acts as a trusted partner, gatekeeper, and coordinator, enabling the Executive Team to focus on strategic priorities and business delivery.


Key Responsibilities:


Executive Support & Diary Management

  • Proactively manage complex and frequently changing diaries
  • Prioritise competing demands in line with business priorities and strategic focus
  • Schedule internal and external meetings, ensuring appropriate preparation time
  • Coordinate UK travel, accommodation, and logistics
  • Ensure Executive time is effectively structured to maximise productivity and impact

Meeting, Board & Documentation Support

  • Prepare high-quality meeting packs, presentations, and documentation
  • Coordinate Board and Executive materials where required
  • Take minutes in Executive meetings and track actions through to completion
  • Monitor follow-up actions and ensure timely delivery
  • Maintain consistent quality and accuracy of all Executive documentation

Stakeholder Management & Communication

  • Act as a first point of contact for senior internal and external stakeholders
  • Build strong working relationships across the business and leadership teams
  • Manage communications with professionalism, judgement, and discretion
  • Support the Executive Team in maintaining effective stakeholder relationships

Operational Coordination & Project Support

  • Support key projects through scheduling, coordination, and progress tracking
  • Monitor key deadlines and ensure alignment across functions and stakeholders
  • Assist with planning events, meetings, and offsites
  • Process expenses and support budget tracking where required
  • Ensure deadlines, deliverables, and administrative processes are consistently met

Confidentiality, Judgement & Governance

  • Handle sensitive and confidential information appropriately and securely
  • Exercise sound judgement in managing communications, priorities, and requests
  • Escalate issues appropriately and in a timely manner where Executive attention is required
  • Operate with professionalism, discretion, and accountability at all times


Essential

  • Proven experience supporting Executive-level leaders
  • Exceptional organisational skills with experience managing complex diaries
  • Strong written and verbal communication skills
  • High attention to detail and accuracy
  • Ability to work at pace and manage ambiguity and competing priorities
  • Strong capability in Microsoft Office and collaboration tools
