  • Rate of pay: £16.04 per hour PAYE

We are seeking a proactive and dedicated Facilities Helpdesk Coordinator to manage service requests and incidents efficiently. This role involves close liaison with Facilities team members and contractors to ensure that both reactive and planned works are completed in adherence to our SLAs. The successful candidate will play a crucial role in ensuring that all operations are managed effectively from initiation to completion while maintaining excellent communication with customers and stakeholders.

Day-to-day of the role:

  • Serve as the first point of contact for internal and external customers/contractors, managing both planned and reactive tasks.
  • Take full ownership of service requests through the helpdesk, ensuring all works are logged correctly on CAFM, tracked, and managed effectively.
  • Raise purchase orders and ensure that invoicing queries are resolved promptly.
  • Coordinate contractors' access and ensure that works are scheduled properly.
  • Provide report data from the service desk to the Business Support Manager for monthly reporting, including contractor service performance.
  • Assist with the helpdesk function in covering reception and facilities staff as required.
  • Draft and send office communications through email or intranet articles.
  • Support business continuity planning and disaster recovery efforts.

Required Skills & Qualifications:

  • Strong understanding of statutory regulations and approved codes of practice related to facilities management (e.g., Fire, Legionella, Asbestos).
  • Proven experience in a helpdesk role within a facilities management environment.
  • Excellent stakeholder management skills.
  • Proficient in Health & Safety legislation.
  • High level IT skills, particularly in MS Office, and a good technological awareness.
  • Membership with BIFM is desirable.
