Job OverviewTo provide comprehensive secretarial and administrative support to the Consultant Psychiatrists, Service Managers and Medical Staff and to provide support and cover for colleagues in response to service needs.

This post is secondment for 12 months to meet the needs of the service. If you are interested in applying for the secondment position, you must obtain permission from your current line manager prior to applying for this post.

Main Duties of the job

Complete all secretarial work in a timely and efficient manner, as requested by the Consultant Psychiatrists, other medical staff, and Clinical Team Managers. This includes audio‐typing, word processing, and data entry.

Maintain the diaries of the Medical Team and the Clinical Team Managers, ensuring that they can be contacted at all times on urgent matters.

Assist in the organisation of the Consultant's and Clinical Team Manager's clinical and administrative responsibilities.

Maintain an effective filing system, filing papers into health records in accordance with health record‐keeping standards.

Assist Consultants with the provision of information and administrative support for clinical and medical audit activity.

Efficiently input data onto the service prescribing database to produce prescriptions and manage their printing and accurate recording for sending to relevant pharmacies.

Assist in training and development of other secretarial and administrative staff, as required by the Service Administration Manager.

Undertake other relevant duties as required by the Service Administration Manager, including specific projects and tasks directly related to the work of the Division.

Qualifications & KnowledgeEssential criteria

English Language GCSE O‐level or equivalent.

Knowledge of secretarial procedures and systems, including non‐routine work, acquired through training and experience to Vocational Level 3 or equivalent (plus knowledge of specialist medical terms, organizational policies and procedures, and problem‐solving for non‐routine issues equivalent to Diploma‐level knowledge).

Advanced keyboard skills; RSA 11/111 Typing or equivalent demonstrable level of skill.

Previous experience of working as a Secretary.

Desirable criteria

Studying toward Medical Secretarial Qualification.

NHS experience and experience of working as a Medical Secretary.

SkillsEssential criteria

Ability to communicate well with all levels of staff and members of the public, knowledge of Medical Terminology and audio transcription.

Desirable criteria

Ability to speak Welsh.
