Job OverviewThe post holder will deal with day‐to‐day departmental issues, establish and maintain office systems, and report actions under the guidance of the Community Management team. They will use initiative, judgment, organisational and communication skills to meet tight deadlines. The post holder will line‐manage, support and supervise all Community A&C staff employed within the hospital and other teams when delegated.

The holder will be the point of contact for all administrative duties relating to arranging placements in secondary care for optometry higher qualifications across the health board, providing expertise in proactive placement management. Responsibilities include ensuring suitability and capacity of the eye clinic, monitoring and ordering stock, and acting as link with Health Education and Improvement Wales (HEIW) for a smooth transition between academic programme completion and placements. The role involves frequent handling of confidential and sensitive information.

Main Duties

Provide day‐to‐day office management and supervision for the Community A&C Teams.

Take formal minutes at a range of meetings.

Allocate postgraduate optometrists' placements, ensuring the standards and quality requirements are met.

Discuss placement progress and arrange meetings with trainees and HEIW, escalating any issues to the Placement Lead in HEIW.

Person SpecificationQualifications

Educated in English and maths to GCSE standard (A–C) or equivalent experience.

RSA 111 or equivalent/experience.

NVQ Level 4 in Administration or equivalent/experience.

Desirable Criteria – Qualifications

Supervisory qualification/experience.

Understanding of Optometry Services.

Experience and KnowledgeEssential Criteria

Experience working within the NHS or a Higher Education Institution role.

Experience administering meetings and diaries.

Excellent administration, organisational and time‐management skills.

Ability to manage difficult/crisis situations and respond effectively.

Ability to deliver tight deadlines and prioritise.

Desirable Criteria – Experience and Knowledge

Welsh speaker.

SkillsEssential Criteria

Excellent knowledge of all Microsoft Office applications and ability to master new applications.

Ability to work to strict deadlines, prioritise tasks with minimal supervision.

Note/minute taking.

Organisation – manage a complex electronic diary requiring frequent adjustment and consultation.
