We are seeking a detail-oriented NI Projects Coordinator to support our New Installations with day-to-day administrative coordination across our installation projects.


Scope of the Role

As NI Projects Coordinator, you will carry out administrative day-to-day work within the Installation Department of the New Lifts Division, providing support to Project Managers and Field Engineers. You will be the Installation Department's main focal point for scheduling KLEEMANN or other OEM factory deliveries and production, while monitoring progress on live sites.


Key Responsibilities

  • Coordinate effective project production scheduling and deliveries from KLEEMANN or other OEM factories, minimizing UK warehouse storage time relative to actual start-on-site dates.
  • Prepare O&M Manuals and handover paperwork.
  • Prepare Job Packs and Job Kits.
  • Complete and maintain the safety components register.
  • Raise Purchase Orders in the Project Manager's absence.
  • Hold and update the tools register.
  • Monitor the Installation team's certificates, expiry dates, and schedule renewal actions.
  • Monitor NVQ or other training progress of installation team members.
  • Update the weekly 'STATUS' Excel Master Document ahead of weekly team meetings.
  • Order, receive, and schedule additional project deliveries following the Project Manager's lead, monitoring these against Variation Orders and lead times.
  • Update the Teamwork Projects platform (or other tools used by KLEEMANN Group) weekly for live site progress and operations planning.
  • Identify and introduce improvements to operations and tools used, targeting lean, cost-effective solutions (subject to Manager approval).
  • Support succession planning using the best of corporate resources (subject to Manager approval).


Skills & Experience

  • Over 3 years' relevant experience.
  • Experience working in an administrative or customer service environment.
  • Knowledge and understanding of Microsoft Office packages.
  • Excellent communication skills and a good team player.
  • Very well organized, reliable, and methodical with a structured approach.
  • Ability to work to tight deadlines and under pressure.
  • Strong interdepartmental collaboration skills.


Qualifications (Essential or Strongly Preferred)

  • Technical College qualification or equivalent (NVQ or other).
  • Excellent command of English (Native/Bilingual proficiency).
  • Excellent knowledge of PC and MS Office.
