Senior Investment Management Administrator – Private Clients


London (City) | Hybrid – 4 days in the office, 1 day from home | Salary: Competitive


The Firm

Our client is a well-established, partner-owned investment management firm based in the City of London, with a headcount of circa 35 staff and partners. They provide bespoke investment and wealth management services to private clients, combining the investment standards of a large institution with a close, relationship-led service mode

l.The firm also runs a dedicated wealth planning offering, delivering retirement, tax-efficient and estate planning advice to its private client base.


The Role

A great opportunity for an experienced private client investment administrator to join a growing team, providing high-quality administrative support to the Head of Wealth Planning and the wider team.


Key Responsibilties


  • Provide administrative support to the team, including diary management, arranging meetings, and responding to client and adviser correspondence.
  • Produce accurate and timely reports and presentations for client and internal meetings.
  • Prepare client meetings, including agendas, meeting packs, and post-meeting follow up.
  • Work with the Head of Wealth Planning to design and implement team processes and procedures.
  • Build and maintain strong working relationships with clients, their advisers, and internal colleagues.
  • Maintain client records, plans, fees, tasks and activities on the firm's back-office platform.
  • Implement advice recommendations, including form completion and liaising with product providers.
  • Produce fund switch and withdrawal letters, carrying out the necessary research and documentation.
  • Analyse client and provider information, using research tools to support fund performance and illustration comparisons.
  • Obtain Letters of Authority (LOAs) and accurate plan information in a timely manner.
  • Liaise with third parties and providers to clarify technical points and resolve queries.
  • Prepare client valuations and annual review packs.
  • Carry out research for advisers as required.
  • Support ad hoc projects and tasks across the team.


About You

  • 5+ years' administrative experience within investment management or wealth planning for private/HNW clients.
  • Excellent administrative and organisational skills, able to manage multiple tasks and priorities.
  • Strong numeracy, with excellent attention to detail and accuracy.
  • Confident communicator, both written and verbal.
  • Able to work on own initiative and take ownership of tasks.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint), and comfortable learning firm-specific platforms.
  • Collaborative and inclusive approach, comfortable working in a close-knit team.
