  • Oversee procurement activities, including inventory management and distribution of office supplies and consumables.
  • Plan and manage office renovation projects, including budgeting, scheduling, and coordination with contractors and stakeholders.
  • Coordinate and oversee building management activities, ensuring operational efficiency, prompt repairs, and compliance with safety standards, working alongside the landlord's building management team.
  • Liaise with the Compliance team to provide accurate data required for company audits.
  • Provide local IT support to employees, and support IT HQ with coordination, ordering, and roll-out of new equipment.

Finance

  • Administer and prepare invoices for payment, liaising with and coordinating our external local accountant on tax and accounting matters.
  • Manage petty cash, including cash advance payments in multiple currencies, plus monitoring, control, and accounting of expense statements.
  • Monitor the local bank account, oversee cash flow requirements, and initiate payment transactions for the office.
  • Prepare monthly bookkeeping information for the external accountant and support administration of government surveys.

Events

  • Own end-to-end planning for corporate and internal events.
  • Manage the entire event process from initial concept to final execution, meeting all requirements, audience needs, and objectives, and bringing creative ideas to enhance each event's success.
  • Identify, source, and negotiate with vendors and suppliers to secure the best partnerships, and maintain strong ongoing relationships for quality and timely delivery.
  • Provide on-site and remote support during events, resolving issues quickly to keep everything running smoothly.
  • Work closely with local accommodation partners to secure the best rates and service.

Requirements

  • Minimum 5 years' relevant senior office management experience, preferably with some events experience.

  • A positive, helpful, and employee-focused attitude towards colleagues, with the right attitude and a bubbly, sociable personality comfortable with workplace banter and not overly sensitive.
  • A flexible, yet detail-oriented team player who is well-organised, proactive, and able to think outside the box to adapt to changing needs.
  • Confidence building relationships across departments and geographies, and openness to learning about industries outside your prior experience.
  • Competence in prioritising tasks, working within deadlines, and managing multiple projects at the same time.
  • Excellent written and verbal communication skills; comfortable using Microsoft Teams.
  • Not afraid to get stuck in and take initiative from day one.
  • Applicants must have the legal right to work in the UK.
