Executive Team Assistant
Global Financial Services Organisation
London | Hybrid (4 days in the office)
12 month contract, £300 per day PAYE
We're recruiting for an experienced Executive Team Assistant to join the leadership support function of a leading global financial services organisation.
This is an excellent opportunity to work closely with a senior executive team in a fast-paced, professional environment where you'll play a key role in ensuring the smooth running of day-to-day business operations.
You'll be supporting senior stakeholders with complex diary management, travel coordination, events, onboarding and wider business initiatives, acting as a trusted partner who can anticipate priorities and keep everything running efficiently.
Key Responsibilities:
- Manage complex executive calendars across multiple international time zones.
- Coordinate internal and external meetings, video conferences and leadership sessions.
- Arrange international business travel, accommodation and itineraries.
- Process expenses using Concur or similar expense management systems.
- Organise team events, conferences, town halls and off-site meetings.
- Support onboarding and induction of new team members.
- Prepare presentations, reports and meeting documentation.
- Act as the first point of contact for visitors and senior stakeholders.
- Provide administrative support for business initiatives and ad-hoc projects.
- Build strong relationships across business functions while handling confidential information with complete discretion.
Skills & Experience:
- Previous experience as an Executive Assistant, Personal Assistant or Senior Administrative Assistant supporting senior leadership.
- Experience within Financial Services is essential, ideally for Global Asset Manager or Investment Banking Organisation.
- Outstanding organisational and time management skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong communication and stakeholder management skills.
- Highly proactive with the ability to anticipate business needs.
- Exceptional attention to detail and accuracy.
- Advanced Microsoft Office skills, particularly Outlook, Word, PowerPoint and Excel.
- Experience with travel booking and expense management systems such as Concur is desirable.
- Professional, discreet and able to handle highly confidential information.
