Project Coordinator


RWD is searching for an exceptional Project Coordinator to join our award‑winning yacht design studio.


Working closely with the Senior Project Coordinator & Projects Director, you’ll help keep projects running smoothly across the studio — supporting teams, maintaining clear schedules and ensuring information flows accurately between designers, project managers and senior leaders. You’ll coordinate resource planning across departments, helping balance workloads and ensure project teams have what they need at the right time.


You will also manage Asana as a key planning tool, creating schedules, updating timelines and supporting colleagues with training. Alongside this, you’ll assist with meeting preparation, liaise with subcontractors and help maintain consistent project documentation across the studio.


HOW YOU'LL HELP SHAPE OUR PROJECTS


  • Support the Projects Director and Project Coordinators with team planning and resource coordination across the studio
  • Manage Asana as a core planning tool, including schedules, timelines, capacity updates and team training
  • Keep project information accurate and up to date, including team sheets, documentation and shared diaries
  • Coordinate internal and external project meetings, worldwide and in the studio, ensuring clear communication of milestones and deadlines
  • Liaise with subcontractors and support contractor bookings and document administration
  • Assist with client presentations, agendas and minutes, ensuring consistency with RWD brand standards
  • Support project managers with correct filing, labelling and archiving of project documentation
  • Help organise team travel and monitor timesheet completion across the studio
  • Contribute to a smooth, professional project experience for both internal teams and clients


THE SKILLS YOU’LL BRING


  • Experience in organisational roles such as project coordination, events or executive support, ideally within the superyacht or luxury sector
  • Strong IT capability, particularly MS Office; InDesign experience is beneficial
  • Exceptional attention to detail and strong organisational skills
  • Professional, friendly communication skills, both written and verbal
  • Ability to use initiative while knowing when to seek guidance
  • Proactive, solutions‑focused approach to problem‑solving
  • Collaborative team player with a willingness to support colleagues where needed
  • Eligible to work in the UK
