Salary | starting £30,000–£32,000 per annum for a four-day working week (£37,500–£40,000 FTE)

The opportunity
This is not a traditional Executive Project Assistant role.
Our client is a small, internationally connected and purpose-led organisation working across sustainability, fashion, textiles and responsible supply chains. It combines not-for-profit research and education with commercial exhibitions, partnerships, advisory services and consulting.
They are looking for an exceptionally capable and proactive Executive Project Assistant to work closely with the CEO and senior team members, providing trusted day-to-day support while also coordinating strategic projects, partnerships and client deliverables.
A key part of the role will be taking ideas, conversations and fast-moving verbal briefs and turning them into clear, polished outputs. These may include presentation decks, partnership proposals, client reports, project plans, meeting notes and grant applications.
You will also join selected client and partner calls, identify actions and omissions, and make sure projects continue to move forward when the CEO and senior team are travelling.
As a small business, roles naturally evolve, so a willingness to get stuck into new challenges and embrace changing directions is key.
What you’ll be doing
- Providing responsive and highly organised support to the CEO and senior team.
- Turning meetings, calls and verbal instructions into clear actions and completed deliverables.
- Producing high-quality presentation decks, proposals, reports and briefing documents.
- Coordinating partnership and advisory projects from initial discussion through to delivery and follow-up.
- Joining selected calls with senior clients, partners and stakeholders.
- Tracking deadlines, actions, budgets, contracts and project documentation.
- Preparing grant proposals and completing online funding submissions.
- Coordinating internal colleagues, external contributors and client communications.
- Raising invoices through Xero and following up on outstanding payments.
- Supporting exhibitions, workshops and other client-facing activities.
- Providing support with presentation design, graphics and digital content.
The wider responsibilities may also include partnership delivery, curated exhibition content, event coordination and quality control of client-facing materials.
About you
You will be a self-starter who combines excellent judgement and communication skills with a practical willingness to get things done. You are likely to have:
- Around two to four years’ relevant professional experience.
- A background in consulting, professional services, executive support, client delivery or project coordination.
- Exceptional written and spoken English.
- Strong PowerPoint, Google Slides or equivalent presentation skills preferably Canva or other presentation and graphics knowledge.
- The ability to turn incomplete or complex information into clear, persuasive documents.
- Confidence communicating with senior clients and partners.
- Excellent organisation, prioritisation and deadline-management skills.
- Strong digital skills and the ability to learn new platforms quickly.
- Commercial awareness and an understanding of professional client service.
- The confidence to spot gaps, challenge constructively and act without waiting to be prompted.
- A genuine interest in sustainability, responsible business or positive environmental and social change.
Experience preparing grant applications, working in a Big Four or consulting environment, supporting international clients, or using Canva, Xero or Wix would be useful but is not essential.
