A highly regarded, top 200 law firm based Central London is seeking an experienced Legal Secretary / Legal PA to join its specialist Family Law team.
The Role:
- Opening new files and assisting with the firm's CDD and AML processes, including obtaining identification and maintaining accurate client records.
- Preparing AML documentation and liaising with Risk & Compliance where required.
- Managing Partner and fee earner diaries, inboxes and appointments.
- Liaising with clients, Courts and other third parties to arrange meetings and conferences.
- Taking telephone calls, dealing with enquiries and passing on accurate messages.
- Providing accurate and timely dictation support using digital dictation software.
- Formatting, proofreading and amending correspondence, Court forms and legal documentation in line with house style.
- E-filing and ensuring documents are accurately saved to the firm's document management system.
- Monitoring outstanding emails and ensuring matters are appropriately progressed.
- Preparing billing guides and draft bills, assisting with the billing process and ensuring completed bills are accurately saved and prepared for client delivery.
- Preparing posting slips for incoming and outgoing monies.
- Preparing legal forms and documentation using relevant systems.
- Preparing electronic Court bundles, including indexing, pagination, redaction, document merging and arranging documents chronologically.
- Monitoring and maintaining bundles to ensure compliance with Court directions and procedural requirements.
- Checking and assigning cases via the HMCTS online portal.
- Downloading Court documents and diarising key dates and deadlines.
- Recording deadlines contained within Court Orders and setting appropriate reminders.
- Assisting with file closure, including ensuring matters are closed correctly, funds are returned where applicable and files are sent to storage.
- Supporting the wider Family team with overflow secretarial and administrative duties.
- Assisting with general office, printing, scanning and postal requirements.
- Undertaking any other reasonable duties required to support the department and wider firm.
The Ideal Candidate:
- Experienced Family Legal Secretary or Legal PA who is confident supporting Partners and fee earners within a busy and demanding environment.
- Ideally have experience of working on complex financial remedy, children and/or domestic abuse matters, with an understanding of the sensitive nature of Family Law work.
- Excellent organisational and time-management skills.
- Strong diary-management experience and the ability to prioritise competing demands.
- A proactive approach, with the ability to anticipate fee earners' requirements.
- Excellent written and verbal communication skills.
- A professional, client-focused manner with strong interpersonal skills.
- High levels of discretion and confidentiality.
- The ability to remain calm and resilient when working under pressure.
- Excellent attention to detail.
- A collaborative and supportive approach to working within a team.
- Strong IT skills and confidence learning new systems.
- The ability to work towards a paperless working environment.
