Practice Support Assistant

AJ Chambers are currently working with a Legal 500 international law firm who are looking to recruit a Practice Support Assistant to join their established Practice Support team in their City of London office.

This is an excellent opportunity for an organised, proactive and service-focused administrator to join a leading international firm and provide essential administrative and operational support to lawyers and the wider support function.

The Role

As a Practice Support Assistant, you will provide a broad range of administrative and file management support, working proactively to anticipate the needs of the legal and support teams.

Key Responsibilities

  • Provide general administrative support to Service Leads, Practice Assistants, Executive Assistants and Lawyers.
  • Manage and prioritise your workload effectively, ensuring tasks are completed accurately and within required deadlines.
  • Assist with diary support, including room bookings, taxi arrangements and diary updates.
  • Support client engagement and marketing-related activities, including updating the firm's CRM system.
  • Create and format electronic documents, ensuring information and data is accurate.
  • Open and close files, maintain accurate records and ensure electronic documents are correctly named and filed.
  • Assist with file archiving procedures.
  • Support the organisation of internal and external events, seminars and conferences.
  • Assist with event registrations and arrange travel, including taxi, rail and air bookings.
  • Prepare, print and distribute event and meeting materials.
  • Provide general administrative assistance including printing, copying and scanning.
  • Maintain accurate expense records and organise hand deliveries and courier requests.
  • Provide support with finance and billing-related administration and expense processing.
  • Work collaboratively with colleagues, providing cover and assistance where required.
  • Identify opportunities to improve processes, streamline workflows and increase efficiency.
  • Attend relevant training and maintain an up-to-date understanding of firmwide procedures.
  • Take an active approach to continuous learning and professional development.

About You

  • Previous office-based administrative experience within a professional services or legal environment.
  • Excellent attention to detail and a high level of accuracy.
  • Strong communication skills and the ability to liaise professionally with internal stakeholders.
  • A proactive and hands-on approach, with the ability to work independently.
  • Excellent organisational skills and the ability to manage competing priorities.
  • A flexible approach and the ability to adapt to changing requirements.
  • Good working knowledge of Microsoft Office.
  • A strong aptitude for technology and the ability to learn new systems quickly.
  • Experience using document management or case management systems would be advantageous.
  • A strong client/customer service focus and a willingness to proactively assist colleagues.
  • A collaborative approach with the ability to work effectively as part of a wider support team.
