Job description

ISS is looking for a highly organised Project Administrator to join our expanding Variable Works team supporting a major government contract.


As Project Administrator, you will provide administrative, clerical and operational support to a busy project delivery team responsible for refurbishment, fit-out, HVAC and building improvement projects across the UK.


You'll be the central point of coordination for project documentation, purchase orders, meetings, reporting and communications, helping ensure projects run smoothly and efficiently from inception through to completion.


Key Responsibilities


  • Provide day-to-day administrative support to Project Managers and project teams.
  • Maintain project documentation, records, reports and contract-related information.
  • Schedule meetings, coordinate diaries, prepare agendas and take meeting minutes.
  • Raise and track purchase orders and support project financial administration.
  • Assist with budget monitoring, cost tracking and expense processing.
  • Coordinate communications between internal teams, clients, contractors and suppliers.
  • Support subcontractor coordination and site access arrangements.
  • Track project progress and maintain project reporting information.
  • Ensure project governance processes and documentation are up to date.
  • Attend meetings and occasional site visits to support project delivery.



We're looking for a proactive and detail-focused individual with strong administrative and organisational skills who enjoys supporting multiple stakeholders and working as part of a collaborative team.


Essential Skills & Experience

  • Minimum two years' experience in an administrative, project support or coordination role.
  • Strong organisational skills with the ability to manage multiple priorities and deadlines.
  • Excellent attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office, particularly Excel, Word and PowerPoint.
  • Experience arranging meetings, taking minutes and coordinating actions.
  • Ability to build effective working relationships with stakeholders at all levels.
  • Ability to work in a fast-paced environment and meet deadlines.
  • Willingness to travel occasionally for meetings and site visits.
