Job description
Position: Administration Assistant
Location: Mayfair, London (Site Office and Presentation Suite)
Terms: Full-time, 18-month fixed-term contract (with strong view to growth and extension)
Reporting To: Senior Leadership Team
Purpose: To provide high-quality administrative support, ensure the seamless operation of project offices, and assist the delivery and wider project teams in executing the legacy 1 Mayfair development.
Key Responsibilities
Office & Reception Management
- Visitor Welcome: Greet guests professionally and provide refreshments.
- Communication: Answer incoming phone calls, transfer enquiries, and handle daily correspondence.
- Logistics: Arrange couriers and liaise with logistics suppliers to secure accurate shipping quotes.
- Supplies: Maintain office tidiness and ensure meeting rooms are stocked and prepared.
Project & Team Support
- Meeting Coordination: Schedule meetings, book rooms, manage diaries, and coordinate hospitality.
- Document Control: Assist the document control team by uploading technical drawings and project files.
- Administration: Draft, format, print, photocopy, and file project documents with high accuracy.
- Ad-Hoc Tasks: Enthusiastically undertake diverse administrative duties to support the wider delivery team.
Person Specification
Experience & Technical Skills
- Office Background: Proven experience working in a professional office environment.
- Software Proficiency: Strong skills in Microsoft Office (Word, Excel, Outlook, and PowerPoint).
- Calendar Management: Essential experience in managing complex diaries and schedules.
- Document Handling: Experience with digital filing systems or document control platforms is highly desirable.
