The Role

We are seeking an organised and proactive Studio Assistant to support our Executive Assistant & Studio Manager across both areas of their remit. This is a dual-facing role: on one side, you will assist with diary management, travel coordination, and document preparation for senior stakeholders; on the other, you will support the day-to-day running of the studio.

This role suits someone who is detail-oriented, a confident writer, and comfortable moving between administrative and operational tasks within the same day. You will work closely with the Executive Assistant & Studio Manager, acting as a reliable second point of contact and ensuring nothing falls through the cracks across either function.

Responsibilities

Executive Support

  • Support diary management, helping to schedule and reschedule meetings and flag conflicts.
  • Assist with booking domestic and international travel, including flights, accommodation, and itineraries.
  • Prepare, format, and proofread presentations, documents, and correspondence.
  • Draft written communications on behalf of the Executive Assistant & Studio Manager, maintaining a professional and consistent tone.
  • Support communications with key stakeholders on behalf of the studio, including formalising meeting requests.
  • Help maintain visibility of daily, weekly, and forward-planned priorities across the team.
  • Help prepare materials and agendas ahead of meetings, and assist with note-taking where required.
  • Provide ad hoc support to the other Senior Leadership team, including diary coordination, correspondence monitoring, and tracking of related travel and expenditure.
  • Maintain organised digital filing for correspondence, travel records, and key documents.

Studio Support

  • Assist with the day-to-day running of the Marylebone studio, including supplies, deliveries, and general studio upkeep.
  • Support the coordination of studio bookings, room set-ups, and equipment for meetings and shoots.
  • Act as a point of contact for studio-related queries from staff and visitors.
  • Support the planning and delivery of studio events, shoots, trips, and socials.
  • Support the maintenance of Health & Safety, insurance, and other compliance records to a high standard.
  • Assist with the upkeep of studio policies and procedures, handling information with discretion.
  • Help maintain studio calendars and communicate schedule changes to relevant teams.
  • Support the maintenance of staffing calendars, timetables, and holiday and leave records.
  • Support the onboarding of new starters with studio access, equipment, and induction logistics.
  • Support liaison with the IT manager on hardware and software needs.
  • Assist with day-to-day building management matters.
  • Assist with ad hoc studio projects and events as they arise.

Client & New Business Support

  • Support client hospitality, scheduling, and day-to-day relationship coordination.
  • Help prepare for and follow up on new business meetings, maintaining pipeline and tracker records.
  • Assist with research on prospective clients, partnerships, tenders, and frameworks.

Finance & Admin Support

  • Process expenses and maintenance of financial schedules.
  • Support day-to-day tracking of studio expenditure against budget.
  • Assist with maintaining accurate records for budget forecasts and expenditure reporting.

Skills & Experience

  • Some prior experience in an administrative, EA, or studio support role, ideally within a fast-paced or creative environment.
  • Excellent written and verbal communication skills.
  • Strong organisational skills and the ability to manage multiple tasks and priorities at once.
  • Confident using Google Workspace and Keynote particularly for presentations and document formatting. Knowledge of Figma is a plus.
  • A proactive, can-do attitude, with the discretion and judgement to handle sensitive information.
  • Comfortable moving between administrative tasks and hands-on studio support within the same day.
  • Calm under pressure, with a keen eye for detail and follow-through.
