About the role

Are you an experienced administrator, with a passion for organisation, great communication skills and a keen eye for operational detail? The Faculty Education Office (FE0) in the Faculty of Medicine is seeking to appoint an Operations and Communications Administrator for a newly created role in the School of Medicine Secretariat team.

The Faculty Education Office (FEO), part of Imperial’s leading Faculty of Medicine, is responsible for the delivery of Imperial College School of Medicine’s (ICSM) undergraduate programmes in Medicine and Medical Biosciences, and our new MSciMedical Science and Innovation from 2027.

The Secretariat is one of the FEO’s five core sections, and the team are responsible for a range of operational and administrative areas that ensure a seamless staff and student experience, including (alongside communications and staffing operations areas) governance, quality, information governance and student welfare.

In this role, you will support the Staffing and Operations Officer in overseeing the people and operational needs of the FEO’s teams across three campuses, and the Communications and Operations Manager with a range of communications and engagement activities. You will also offer administrative support to the Director of Undergraduate Science, who is leading the development and implementation of the new MSci programme.

What you would be doing

The Operations and Communications Administrator is a key role in the centre of FEO activity, supporting a range of staff and activities across the FEO’s education-focused remit.

You will be responsible for delivering the day-to-day operations across the FEO, supporting the management of the FEO’s offices across three campuses.

You will act as a first point of operational contact for FEO staff, as well as providing personalised administrative support to the Director of Undergraduate Science, and wider administrative support to the Faculty Education Office and School of Medicine senior leadership teams.

You will work collaboratively with the Communications and Operations Manager to support the development and delivery of effective communications and engagement activities for the staff and student community.

What we are looking for

You will have office administration experience, with excellent organisation and record-keeping skills. You will be proficient in the use of the Microsoft Office suite broadly and particularly in Sharepoint, with a willingness to work with new platforms and develop current use of existing ones.

You will have a demonstrably high level of oral and written communication skills in order to best engage with stakeholders and represent senior leadership when necessary and ideally have some experience drafting communications for a range of audiences.

Experience supporting senior leadership and managing complex diary arrangements as an executive or personal assistant, ideally in Higher Education, would make you an ideal candidate for this role.

What we can offer you

  • The opportunity to continue your career at a world-leading institution and be part of our mission to use science for humanity.
  • Benefit from a sector-leading salary and remuneration package (including 43 days’ annual leave and generous pension schemes).
  • Access to a range of workplace benefits including a flexible working policy from day one, generous family leave packages, on-site leisure facilities and cycle-to-work scheme.
  • Interest-free season ticket loan schemes for travel.
  • Be part of a diverse, inclusive and collaborative work culture with various staff networks and resources to support your personal and professional wellbeing .
