The opportunity

In this role, you will lead and support the Vetting team, while also contributing to the processing of security clearance and client led screening administration within specified legislative, procedural and service guidelines. 


You will support all activities relating to client led screening and security clearance applications, and aftercare of cleared employees and partners. You will manage key stakeholder and supplier conversations, providing process guidance, regular operational reports and processing invoices. You will also be responsible for the workload management of the team, auditing the work, counselling and coaching coordinators, managing change and operational projects, and driving continuous improvement initiatives. You will develop and organise training/knowledge sessions to coach the team through new initiatives and will also assist with queries. 


In the role, you will work closely with the Business Resilience Team and EY Account teams, promoting the development of these relationships across the whole team. You will contribute to and lead projects within the TSS, Business Resilience and wider HR initiatives.


Your key responsibilities

  • Demonstrate proficiency and subject matter expertise in security clearance and client led screening processes.
  • Deliver an excellent service by monitoring resource, allocating workloads and auditing outputs to ensure service level agreements and key performance indicators are achieved.
  • Counsel, coach and develop team members, providing advice and motivation to meet personal and professional goals, and managing any performance issues. 
  • Oversee inductions and ongoing training to ensure full utilisation of the team.
  • Manage key stakeholder relationships, internally and externally.
  • Collate and present feedback for the background screening supplier quarterly business reviews.
  • Respond to service issues, providing advice and guidance for speedy investigation and resolution. Identify potential risk to the firm and escalate as necessary to the Talent Shared Services Senior Manager.
  • Plan, implement, measure and report on changes in service and improvements. Manage new initiatives and changes in ways of working.
  • Process all administration relating to screening/clearance, including production of internal communications and completion of application forms.
  • Review and escalate adverse findings for client led screening and security clearance applications.
  • Maintain up to date knowledge of the firm’s clients, the Security Policy Framework, Personnel Reliability Framework and the Risk Management policy and process developments.
  • Manage List X releases with the guidance of the security controller, and implement changes accordingly, ensuring a smooth transition to the business. 
  • Ensure compliance with the firm’s policies and best practice, and maintain an awareness of instructions for working with/on UK Government information and Government analytics data.
  • Develop an in-depth knowledge and understanding of the Government Security Classification scheme and Industry Personnel Security Assurance (IPSA) requirements.
  • Perform and participate in internal and external audits, including FS and UKI client screening audits, and government agency audits
  • Produce reports and monthly management information.
  • Process supplier invoices. 
  • Provide the business with the screening/clearance information they require to assess employee suitability for client engagements.
  • Manage the security clearance and client led screening mailbox.
  • Deliver excellent service in line with security clearance and client-led screening processes, policies and procedures.

 

Skills and attributes for success

We are looking for people with previous experience within a service delivery and team environment, ideally in security vetting or a similar screening role.

 

To qualify for the role you must have

  • Strong attention to detail and good organisation skills, with the capacity to manage high volumes of tasks and queries
  • Experience of leading process improvements in a demanding, quality driven, professional business
  • Competence in the coaching concept and the ability to deliver constructive feedback
  • Excellent interpersonal skills for customer liaison and the ability to establish and build strong working relationships
  • 5 years continuous residency in the UK to be eligible for security clearance 

 

Ideally, you’ll also have

  • Knowledge of operational screening systems and procedures.
